About this opportunity

The Department of Veterans Affairs Veterans Health Administration, Veterans Integrated Service Network 12 has issued Special Notice 36C25226Q0151 regarding a limited source contract for InstyMed medication dispensing systems. This notice is not a formal request for proposal or quote, but rather a statement of intent to negotiate exclusively with InstyMeds for the supply and installation of dispensing cabinets. The VA Illiana Pharmacy Service requires four InstyMed Medication Dispensing Systems to support medication distribution across multiple facilities, including the Danville VA Medical Center's Urgent Care, Springfield Community-Based Outpatient Clinic, Mattoon Community-Based Outpatient Clinic, and Bloomington Community-Based Outpatient Clinic. InstyMeds has been identified as a sole source provider based on the unique specifications and technical requirements of the procurement. The special notice was posted on December 12, 2025, with responses due by December 29, 2025, at 8:00 am Central Time.

The primary objective of this procurement is to implement automated point-of-care medication dispensing capabilities that will improve the timeliness and accuracy of medication delivery from provider order to patient receipt. The contract consists of two line items: the purchase and supply of the InstyMed System including dispensers, and professional installation services at the specified locations. Only InstyMeds is eligible to participate in this limited source negotiation, as the company is the sole vendor capable of meeting the VA's technical specifications and integration requirements with the existing Vista electronic health record system through the Dispensing Support System interface. The InstyMed system offers location-specific formulary management, real-time inventory tracking, automated repackaging capabilities, integrated recall and expired drug management, and round-the-clock customer support. Additionally, the system has been evaluated for future compatibility with Cerner should the VA transition to that electronic health record platform.
