About this opportunity
The Department of the Air Force Air Education and Training Command is soliciting childcare services for the 37th Training Group Family Retreat through a Request for Quote. The contractor will provide professional childcare for 30 children ranging in age from 6 weeks to 13 years old while parents attend chaplain-led training sessions at a hotel or resort conference room in the San Antonio area. Key requirements include maintaining strict child-to-provider ratios based on age groups, employing CPR and first aid certified staff with clean background checks, providing age-appropriate safety equipment and barriers, and accommodating children with special needs including autism, cerebral palsy, and various allergies. The government will use a Lowest Price Technically Acceptable evaluation method, assessing technical capability on a pass/fail basis with price as the primary determining factor for award. Quotes must be submitted via email by 10:00 AM Central Standard Time on August 12, 2025.
This procurement is designated as a 100% Small Business Set-Aside under NAICS code 624410 (Child Care Services) with a size standard of $9.5 million. The contract will be structured as a Firm-Fixed Price purchase order, though the government has indicated that funds are not currently available and reserves the right to cancel the solicitation. Childcare services must be provided during two specific periods: August 29, 2025 from 5:00 PM to 8:00 PM, and August 30, 2025 from 8:00 AM to 11:00 AM (amended from the original 1:00 PM end time). The services will be performed in Universal City, Texas, near Joint Base San Antonio Randolph. The detailed child information spreadsheet reveals specific accommodations needed for the 30 children, with 7 aged 0-2 years, 12 aged 3-6 years, and 11 aged 7-13 years, including several with documented special needs requiring specialized care considerations.
