About this opportunity

The 195th Wing of the California Air National Guard is conducting market research for venue and conference services to support their leadership symposium scheduled for January 2026. This three-day event requires comprehensive conference facilities including one function room accommodating at least 250 occupants with flexible setup capabilities (either 30 long tables with 5 chairs each or 25 round tables with 10 chairs each), three breakout rooms for 30 occupants each, and full audio-visual equipment packages including projectors, speakers, wireless microphones, and HDMI connections. The venue must be located within specific Los Angeles area cities including Los Angeles, El Segundo, Hawthorne, Torrance, Inglewood, Lomita, Gardena, Lawndale, or Carson, California, and must have lodging facilities on-site or within walking distance. Vendors are required to provide company information including SAM registration details, CAGE and UEI numbers, business size classification, and detailed venue descriptions. This sources sought notice is issued solely for market research purposes to identify potential contractors and gather industry input.

The opportunity does not specify any set-aside designations and no incumbent contractors or current service providers are mentioned in the documentation. While specific contract values or budget ranges are not disclosed in this pre-solicitation phase, the scope suggests a significant investment given the requirements for a 250-person capacity venue with comprehensive AV support and lodging accommodations. The event timeline spans three days in January 2026, though specific dates remain flexible during the planning phase. The contractor will be responsible for complete setup and teardown of audio-visual equipment across multiple rooms, ongoing technical support throughout the symposium, and coordination of room configurations to support various meeting formats. Vendors must demonstrate capability to support both classroom and ballroom-style setups while maintaining the required occupancy levels across all spaces.
