QUESTION GOVERNMENT RESPONSE
5/10/2018 1 Is this a new requirement? If not, please provide the incumbent(s) name and contract number.
This is a new requirement
5/10/2018 2 For the event center, do you have an event center already in mind or do you want us to propose an event center?
We know there are a couple of event centers in the area that meet the requirements but we are open to entertain any event center that meets the criteria
5/10/2018 3 Will we need to provide the marketing materials: banners, advertisements, booth, etc?
No, the recruiting personnel themselves will provide all of the materials. The vendor will not need to provide any materials.
5/10/2018 4 What is the technical evaluation criteria?
Technical evaluation criteria is based on performance measures 2.1 - 2.7 listed in the statement of work. Vendor's proposals need to address those seven items. The requirement is mainly about access and exclusiveness.
5/10/2018 5 Do you want one site or multiple event sites?
We are entertaining multiple venues but keep in mind that if you propose multiple venues in a single proposal, your offered price may not be competitive since this solicitation is being awarded based on lowest price technically acceptable and not best value.
5/10/2018 6
The Statement of Work does not mention any locations within the state in which these services are to be performed. Is this requirement state wide or in any way limited?
Yes, this requirement is limited to the Oklahoma City
Metropolitian area. The Statement of Work has been revised to account for this change.
5/17/2018 7 Can companies outside the USA apply for this?
Per the solicitation, this requirement is set aside for small business concerns registered through the Small Business
Administration (SBA). Foreign companies cannot meet this requirement
5/17/2018 8 Does the vendor need to come to our location for meetings?
Not necessarily. Correspondence can be accomplished via phone, teleconference, etc.
5/17/2018 9 Can we perform the tasks related to the RFP outside the USA? See Question #7.
5/17/2018 10 Can we submit the proposals via email. Absolutely!
5/17/2018 11 Approximately how many event days per year do you estimate?
The Government is interested in facilities that have regularly scheduled events throughout the week - typically 6-7 days per week.
5/17/2018 12 What is your ideal number of attendees at each event?
For normal everyday traffic, the Government would like to see between 100-150 people per day. For major or special events, the Government would like to see between 3,000 -
4,000 participants.
5/17/2018 13 Will you accept digital ad messages to attendees at each event?
This requirement is mostly about access that the facility provides to Oklahoma National Guard recruiters. This includes access to the participants, setting up booths and allowing space for banners and other kinds of advertisements that the recruiters will also provide. The recruiters themselves are going to be on the ground at these facilities and handling all aspects of advertising and the messages.
5/17/2018 14 Do you have material, info to distribute and/or registration info to collect at each event?
The recruiters attending the events will handle all of these requirements.
5/17/2018 15 Would you like to reach attendees later after the event? See Question #14
