About this file

This document is a Questions and Answers (Q&A) file for a federal furniture procurement contract, providing detailed clarifications about furniture specifications and requirements. Key details include furniture items such as conference tables, desks, chairs, and storage cabinets, with specific guidance on dimensions, warranties, and configurations. The government seeks a three-year warranty for items, with preference given to more comprehensive warranty offerings, and allows flexibility in some specifications like desk height adjustability and under-desk storage types.

The Q&A addresses multiple furniture-related inquiries, including logo placement on conference tables (full color required), desk bridge requirements, chair types (rolling office chairs must be fully adjustable, while rolling chairs are non-adjustable waiting room chairs), and outdoor furniture materials (durable, waterproof, metal or vinyl preferred). The contract appears to cover multiple buildings and rooms, with each Contract Line Item Number (CLIN) corresponding to specific rooms and requiring individual pricing. Vendors are advised to provide general layout drawings showing how products fit within specified dimensions and to include detailed product specifications.

Q: Regarding the BBF under-desk filing item, the picture shows a mobile file cabinet (with casters); the specifications seem to indicate the cabinet is to be affixed to the underside of the desk. If this is the case, then there really is no need for the casters. Question:

May we offer the same BBF file cabinet but without casters?

A: The under-desk file cabinet does not need to be on casters. It also does not need to be affixed to the desk. It just needs to fit neatly in the space under the desk.

The same cabinet, without caster is completely acceptable.

Q: What about the dimensions? Is it acceptable for the logo to be black fill only? The table will need to be veneer in order to put a logo on it; would veneer be acceptable?

A: For the 16’ Conference table, the logo in the center should be full color.

Dimensions should be about 24” wide by 30” tall.

For the 10’ conference table: same color requirement. Dimensions should be about 15” wide by 20” tall.

Veneer would be acceptable.

Q: A vendor asked about the warranty requirement, stating that many manufacturers provide a one-year standard warranty and asked that considered be given to a one year standard warranty for all items with certain parts being under warranty for three years.

A: A three-year warranty is preferred and is what we are asking for since we have seen some warranties in excess of three years in other contracts. This contract is a best value determination for award and will not necessarily be awarded to the lowest price. Vendors are welcome to quote a one-year warranty, but preference will be given to the better warranties.

Q: The L shaped desk are they height adj per the drawing?

A: This would be preferred, however not entirely necessary. The portion of the workstation where the monitors mount needs to be height adjustable; only in the rooms where the drawings specify this requirement.

Q: What type of under storage are you requesting ie lateral file,ff or bbf ?

A: We just need a 2-3 drawer storage cabinet that fits under the desks.

Q: The overhead storage are you requesting matching size with the desk?

A: Yes.

Q: Some of the desks seems to be bridges joining 2 desk so please clarify.

A: The offices that have multiple workstations will need bridges between the desks to increase working area. These can be freestanding or mounted to the wall.

Q: What is the difference between rolling office chair and rolling chair.. pictures would help if any.

A: Rolling office chair should be fully adjustable according to the spec request.

Rolling Chair should be a non-adjustable waiting room chair with wheels. Example photo attached.

Q: Guest chair are you looking for wooden or metal frame?

A: The guest waiting chairs should be the same material and color as the desk and other office furniture. I believe the ones you are referring to would be a dark colored wood or laminate.

Q: Can you please be more specific on the outdoor furniture. Image or BOD would help.

A: Examples of outdoor furniture are attached. The requirement is that this furniture is made with durable, waterproof, and weather-resistant material that will not require removal for cleaning. We do not want cloth for this portion. Metal and vinyl types of materials are preferred.

A: Already answered on previous poste Q and A.

Q: Can the monitor arms be dual monitor units, that is, one unit with two arms?

A: The monitors must be single monitor arms.

Answers:

In the main document it says “tables should be non-flip top unless otherwise specified”.

Room 207 is otherwise specified as flip-top. We want flip-top for that room.

The total tally sheet was not updated and is old. It should not have been put in the solicitation. Gonzo didn’t know you were going to put it in there because you had told him that it wasn’t specific enough for the solicitation.

The 30x72 desks in BLDG 3030 that have a bridge can be 24x72 if that is all that the company offers, but we know that there are 30” wide bridges at different companies.

I have attached pictures of a coffee bar/hutch that 4th BN is looking for. They are just looking for something to put a coffee maker on that has storage for coffee supplies.

Q: The amendment 0001 from 8/14 deleted the shipping and installation, please explain, how do you want to handle shipping and installation? Do you want it built into the SF1449 built in per item for 32 CLINs?

A: There is no installation. Shipping, however, will depend on how it’s quoted in the successful offer (i.e. some may quote shipping separately and some quote with shipping built into the pricing per item).

Q: For the flip tables of Clin 8 of 8/14 amendment , the amendment refers to room 1040 but Q and A refers to room 207, is it 9 tables (as shown in the amendment) and this is the only flip tables of all CLINS?

A: CLIN 8 refers to bldg. 7150, rm A1040. Each CLIN corresponds to each room in the drawings. Please ensure you are reviewing the correct SF1449 as amended, not the previous version.

Q: A question was submitted regarding the quantities and drawings.

A: The quantity shown per CLIN is the number of pieces we expect to see per room; it was revised this way to match the pages on the drawings to the1449 (i.e. page one of the drawings will be CLIN 0001 on the 1449, etc.). Each piece should show its own price. We are anticipating many CLINS on the contract. If there are identical products across multiple rooms it would be best to consolidate on the price quote.

We don’t necessarily need to see highly detailed drawings. We want to see a general layout;

basically, how the products will fit within the dimensions we’ve provided and a description for the brand/model/etc. of the furniture pieces going into the space. We do want detail in the specifications of the products (brand, model, warranties, materials, etc.)

Additional Furniture Information:

The amendment and the drawings do not have a sofa for bldg. 303 room 101. Please ensure you are viewing the correct 1449 and the RTI Furniture Drawings.

The RTI Furniture Requirements attachment and RTI Chair examples attachment provide specific details, and the lectern photo is the last page of the RTI Chair Examples document.
