RFI QUESTIONS & ANSWERS

IT IS THE OFFEROR'S RESPONSIBILTY TO REVIEW ALL

ATTACHMENTS PERTAINING TO THIS SOLICITAION.

April 10, 2024

Point 3: Loudspeakers The contractor shall take all necessary precautions to protect the turf surface; where equipment will be placed or used on the field. This is to include protecting the turf during set up andremoval of all equipment. Any equipment and materials needed for set up and removal (such as forklifts plywood etc.) shall be provided by the contractor.

Question: During the walk through, it is my recollection that protective covering for the turf was being provided by the government. Can you please advise?

Correct , As stated in the walk through the turf will be protected from gate 1 from the wall of the east stands about 50ft out on to the field to the stage and under the stage will be covered, that’s it the rest of the field will not be covered.

So any place that there is no turf protection that speakers, light towers, consoles, etc are to be placed the turf must be protected

1. Please advise the capacity of Michie stadium

The stadiums Capacity is 38,000 total. This number includes the east stands, the East stands will not be used during graduation. It doesn’t account for seating the first class and instructors on the field 1300-1500 people.

This is also not how many will attend graduation. As answered previously, When designing a system, plan to cover the areas shown on the layout marked as “guest seating” as for it is to be considered full these areas are also listed in the P.W.S.

I do not have a count of seats in the specific areas.

2. In section 9, the PWS calls for “ The contractor shall provide a plan indicating the location of equipment, speaker locations NLT (no later than)April 25, 2024, for review and consideration”- but the response is due April 15th. Does the plan not required to be submitted by April 15th?

“Provide a plan indicating the location of equipment”

This is a referring to a floor plan it can be included on the 15th but not necessary to bid, if the guidance in the PWS is followed the plan should be acceptable.

3. If there a reason, the plan is due 10 days after the submission?

The reason is It would give the winning offer more time to make final adjustments (tweaks) to the field layout if needed after the award example would be they need to locate a speaker position or a cable ramp placement a few feet in one direction or the other.

The extra time may not be needed it may be submitted at the time the bids are.

We just need the final lay out by that date and no changes to it after its in and approved.

4. Or should we submit our initial draft plan of the locations, have an opportunity to discuss with SME and then finalize?

Not Applicable

1 Performance Work Statement 9. PERFORMANCE TIMELINE (Page 5/77) This section's wording is a bit awkward, what day is the rehearsal for us? Is it May 23, 2024 and only 1 day?

The Rehearsal Will be May 24

2 Performance Work Statement 9. PERFORMANCE TIMELINE (Page 5/77) "The system shall be installed, fully operational and ready for performance review by 1530 on May 23, 2024. This appears to conflict with ""The contractor shall provide personnel for the purpose of operational testing, This Is the time VI Management/COR will check everything and make sure that all requirements in the PWS are met and ready to go.

graduation rehearsal, and system check by academy personnel by 5:00 a.m. on day of rehearsal between May 22 and 24, 2022.

At this Time the G-3 office will come in and want to check the mic, see that lights are on, and make sure that everything is ready for the rehearsal to begin they may also make some admin announcements. Also answered above this will take place on 24 May.

Graduation rehearsal will begin at 0600.""

The March on and full dress rehearsal will start at 0600

Please clarify this statement so we clearly know our requirement/date/time. Please advise what day is the actual rehearsal?

May 24 Please advise what day and time, we can load in and begin set up.

Load in and set up can start as early as 730AM Tuesday May 21 How late can we stay on set up day/s in the stadium? "

3 Performance Work Statement 11. GOVERNMENT PROVIDED (Page 6/77);

6. DAIS LIGHTING (Page 5/77) We want to confirm that all risers for Press Box, Camera positions are being supplied by government?

Yes risers for press and camera positions are being provided by the government.

4 Performance Work Statement 1. GUEST SEATING; 3. LOUDSPEAKERS; 5.

DAIS Can the Government supply any diagrams of Michie Stadium along with any previous or current seating chart?

Yes Please advise the number of people seated on the turf and the number of people in the stands. On their turf is between 1300-1500 people.

In the stadium plan for the system to cover as if it is to be full in all of the areas that are specified in the P.W.S.

5 Performance Work Statement 7. POWER (Page 5/77) How far is the house/stadium electrical power located from the stage?

We have not measured it but from the center of the stage to the south side wall would be about 60 yards , from there to the connection point would have to be measured.

6 Performance Work Statement Not Mentioned Is there any video screens on stage or off stage for IMAG or any prompters needed from us?

Nothing needed or required from contractor.

7 Performance Work Statement Not Mentioned What specific concerns are there with any line of sights from the audience regarding lighting tower placements for the stage?

Design the lighting system to meet the specs with minimal amount of sight line obstructions.

8 Performance Work Statement REQUIREMENT (page 3/77) The contractor shall incorporate a means of redundant sound reinforcement should a failure of the contractor’s primary equipment components occur. What is the acceptable down time in case of power failure?

Should be no more than 6 minutes.
