Industry Questions and Answers

Question 1:

Is this a brand-new contract OR is there is (was) an incumbent performing these services? If not brand new, could you please provide the current/previous contract number?

Answer 1:

This is a new requirement. There is no current or previous contract in place for these services.

Question 2:

Do you need someone out right away to troubleshoot, Or do you need the fan(s), capacitors to be replaced and know this already?

Answer 2:

Regarding the capacitor and fan kit, troubleshooting has already been completed.

However, we require separate troubleshooting of the communication issue between the UPS and the maintenance bypass panel following the installation of the capacitor and fan kit.

Question 3:

Do you have a fan quantity you can share for quoting purposes?

Answer 3:

We require the replacement of one fan.

Question 4:

Confirm the bid date and time

Answer 4:

This Combined Synopsis/Solicitation will close at 4:00 pm Central Daylight time on September 8, 2025. Please ensure that your quote is submitted by this deadline in accordance with the instructions provided in the solicitation. Late submissions may be considered at the Contracting Officer’s discretion.

Question 5:

Construction cost estimate or a construction cost range for the project.

Answer 5:

As this is a Simplified Acquisition using Commercial Procedures for the procurement of capacitor and fan replacement for an Uninterruptible Power Supply (UPS), there is no construction cost estimate or range for the project. The procurement is focused on the purchase and installation of a Fan Kit which includes troubleshooting of communication issues between the UPS and the maintenance bypass panel. We encourage you to submit a quote based on the specifications provided in the solicitation. The Government will evaluate offers based on the lowest price technically acceptable that meets the requirements of the solicitation, which will be considered fair and reasonable.

Planholders list/bidders list

Answer 6:

A Planholders list or bidders list is not maintained for this Simplified Acquisition, as the process follows the procedures for commercial item acquisitions under FAR Part 13.

Interested parties should submit their quotes directly by the specified due date. There is no formal ‘bidder registration’ for this type of procurement.

Question 7:

When is the best time to follow up for bid results?

Answer 7:

You are welcome to follow up for the results of this Simplified Acquisition after the solicitation closing date, once all quotes have been evaluated. The award notification will be made by email. If you would like to receive additional information on the status of your proposal, you can contact us after the evaluation period ends, and we will be happy to provide you with an update.
