Questions and Answers
1. There is a 24hr requirement for on-site support that we can accommodate. However, would you consider adjusting to 48 hours to make the pricing more reasonable for the customer? Response time needs to be within 24 hours to the facility to accommodate customers in situations where support is needed.
2. It is stated that there is an existing room equipment list in “attachment 2” but there is no attachment 2 in the posting. If this could please be provided. Yes, Government will provide a list of existing equipment.
3. Would you be able to provide pictures of the spaces with dimensions? Yes, Government will upload pictures of the space with dimensions.
4. How many displays are required in each of the ϐive rooms (A–E)? (A=2, B=1,C=1,D=1,E=1)
5. Are you expecting ϐlat panel displays, projection systems, or a combination? Conference room E has a large ϐlat panel display.
6. Should the existing projector screens be reused or replaced? Screens can be reused but projectors need to be replaced.
7. How should Rooms A–D be combined? Is it one large divisible space, or various combinations (A+B, A+B+C, etc.)? (The rooms should be able to function as one large space or the ϐlexibility to combine the spaces example C+D or B+C. The current system display setup works great and offers that ϐlexibility)
8. Should each room be operable independently and as part of a combined AV system?
Currently each room has the capability to operate independently as a combined AV system.
9. What types of source devices will be used (e.g., laptops, Blu-ray, document cameras, PCs)? Laptops or windows Tablets will be the primary source devices
10. What connection types are required (HDMI, USB-C, wireless, etc.)? (HDMI and USB-C)
11. Do any or all rooms require integrated video conferencing? If so:
a. Should systems be dedicated Zoom Rooms, Microsoft Teams Rooms, or platform-agnostic? (Platform agnostic would but ideal we primarily use teams for conferences)
b. Should BYOD (Bring Your Own Device) conferencing be supported? (BYOD is ϐine from the standpoint of source audio visual only)
c. Will rooms require USB passthrough capabilities for users’ laptops? No
12. Are ceiling mics acceptable, or are table mics preferred ? (height of the ceiling may be interfere with the ability for microphones to pickup audio)
13. Should the existing Shure receivers and microphones be reused or replaced? Replaced
14. Will each room have its own audio zone, or will there be centralized ampliϐication?
Zoned audio with a centralized sound system to support
15. Is a centralized Crestron (or similar) control system expected for each room? Crestron control tablets is what the current system uses
16. Should control be via wall-mounted touch panels, tabletop units, or mobile devices?
Tablets should be mounted to the AV podiums
17. What speciϐic legacy equipment is required to be reused (e.g., Crestron DM, Shure RX, projectors)? Due to the age of the equipment, it should all be life cycled.
18. Is modernization of the Crestron control system expected (i.e., upgrade to 4-Series or maintain 3-Series)? Yes – with a focus on simpliϐied controls
19. Where will equipment racks be located for each room or shared system? Shared Room where all the AV equipment is housed
20. Are sufϐicient power and network drops available at each equipment and display location? Yes the current equipment uses Cat6 and has power

21. Please provide the exact dimensions (length, width, and ceiling height) of each room.
The Government will provide in the coming days, we are currently working with our Civil Engineering section to get those drawings.
22. Please supply photographs of each room, including images of any existing AV equipment racks and infrastructure. Room Pictures have been uploaded.
23. Please provide the current AV wiring diagrams for all rooms. We do not currently have these wiring diagrams; they were not provided the last time the AV system was installed.
24. For each room, how many video input sources will need to be supported? Please specify source types if known (e.g., HDMI, wireless presentation, etc.). HDMI and USB-C
25. How many microphones are required per room, and what type (e.g., handheld, lapel/lavalier, ceiling, gooseneck) is preferred for each?
The Government is relying on industry experts to provide optimal audio solutions to include microphones for this requirement. Podiums should be able to support multiple wireless microphones.
26. Will any wired microphones be used? If so, please indicate the quantity, type, and preferred locations in each room. No, microphones should be wireless. The government does not need wired microphones. Vendors should propose optimal number for each solution.
27. What type of video conferencing platform(s) will need to be supported (e.g., Zoom, Microsoft Teams, Webex, SIP/H.323)? General Support for all conferencing platforms should be included.
28. Will meetings be initiated and conducted from a user-provided laptop or in-room PC? If so, will an AV bridge or USB interface be required to connect the laptop/PC to the room’s integrated audio and video systems? Both Windows 11 based PCs may be used occasionally a MacBook may be used for presentations
29. Will all rooms be required to support video conferencing capabilities? Yes, all rooms and conϐigurations should be able to support video conferencing.
30. Will the existing projector screens be replaced? If yes, please specify the desired screen size and aspect ratio for each room. Option for replacement can be outlined if the screen resolution isn’t optimal for new projector setup.
31. What is the current throw distance (lens-to-screen) for each projector? The
Government does not have as-builts for the previous AV Solutions however, pictures have been provided of each room and location of projectors. That said, the Government will provide an update on distance from screen to projector in the coming days.
32. Are any additional displays or monitors required in any of the rooms? If so, please specify the quantity, preferred size, resolution, and intended mounting locations (e.g., wall-mounted, ceiling-mounted, secondary conϐidence monitor, etc.). Classroom E has a large monitor display, no projector.
33. What type and size of touch panel interface is preferred for each room (e.g., tabletop, wall-mounted, wireless)? Podium mounted is preferred.
34. For Rooms A, B, C, and D, please identify the intended location(s) for the touch panel(s).
On the AV podium.
For Room E, where should the touch panel be installed? On the AV podium
35. Where will the AV equipment rack(s) be located for Rooms A, B, C, and D?
Room A inside the closet as outline in the drawings.
36. Is there a centralized control room that serves Rooms A, B, C, and D?
Each podium has controllers but the equipment is housed in the rack in the comm room in Classroom A
37. Where will the AV equipment rack be located in Room E?
The equipment should be connected back to the Classroom A equipment Rack but able to be controlled from the E podium
38. Will any rooms require the ability to record audio and/or video content? No
39. Will any rooms need to support audio-only teleconferencing? If so, please specify whether the existing building infrastructure supports VoIP or POTS (Plain Old Telephone Service). No
40. How many AV carts are being requested? None
41. For the AV carts, what size and quantity of displays are preferred? None
42. Equipment Speciϐication - Brand Name or Equal: The SOO lists existing legacy equipment. Please clarify if offerors are permitted to propose alternative, TAA-compliant systems from different manufacturers, provided they meet or exceed all functional and performance requirements outlined in the SOO. Alternative items will be acceptable however, they must meet or exceed in terms of function and performance. All equipment must be TAA compliant and approved for use on DoD networks.

43. For classroom E, can you provide more speciϐic details on the intent or needs of the room? Classroom E should be equipped with the same operational capabilities as
Rooms A, B, C, and D—both for integrated use and independent functionality. A key requirement is that it must support the same video teleconferencing features.
The primary distinction is that Room E will use a TV as its display, rather than projectors.
