Bidder Questions Linen Service IDIQ contract:
1. What is the frequency of pick-up / delivery (turnaround time: daily, once per week, biweekly, etc...)? This will change depending on the base operational tempo and the size of the transport vehicle. It will range from 1 pick-up/drop-off every two weeks to 1-2pick-ups/drop-off a week. It is not likely it will exceed than 2 pick-ups/drop-offs in one week. The turnaround time should be no more than 1 week for 1pick-up.
2. Is HLAC certification required for the contractor's facility, or is experience in managing medical linens sufficient? HLAC Certification is not required. practices/guidelines established by the Association for Linen Management No. The Contractor is expected to follow (ALM), and accepted industry standards. https://www.almnet.org/
As for the facility - it should follow sanitary conditions as specified by the Joint Commission (JC).
https://www.jointcommission.org/standards/about-our-standards/ The Laundry Plant layout/design should incorporate a "design for asepsis" whereby clean linen neither encounters soiled linens nor shares the same physical space, thus avoiding cross-contamination and/or reintroduction of bacteria once processed.
3. My first question is if this is a one and done deal? .No this is an IDIQ contract
4. Also if so what dates are the services needed to be provided? See the CLIN period of performance on solicitation page 27.
5. Do you have a minimum of 4 PAR for all the materials? If so, how much backup/PAR do you have? We have 3 PAR for all items. 1 backup.
6. Could you please provide linen ID for each item that needs service? (They need to know the manufacturer, thread counts, and etc. to determine whether they can accept or not) There is a linen exchange in process. The manufacturer will change during this contract. Equivalent size/weight items will be replaced.

7. Can you describe what the entrance to the facility is like? This company I'm intalk with did a job there previously in between 2020-2021, and it took them typically an hour to even 2 hours to go through the clearance process to enter the facility. I'm thinking it is because of Covid then, but what time frame can we expect to enter the facility? The bidder should know that pick-up/drop-off is on a military installation. Upon arrival at the gate, the vehicle will be searched. If the gate is busy searching other vehicles, there could be a wait. The Contractor will be expected to have unescorted credentials for base access. If they do not have the credentials, or if a new driver or new helper shows up, then the Contractors will have to be escorted on base by Housekeeping staff which could cause a delay. Typically, it takes no more than20 minutes to gain base access. If it takes longer than that, it's usually because there's other vehicles in line or the Contractor's drivers have changed. From the gate, the Contractor will drive to the main pick-up facility which is 1 less than mile from the gate.
8. And who is your current laundry service provider? I'm asking because it seems like there is only one that can fulfill the amount of requirements in Savannah. Are you willing to renegotiate with the same vendor under what condition? Services are provided by different local vendors on a smaller scale then what the Contract is requesting.
9. Are we able to have pickup and delivery occur outside the gate? If not, how can we ensure timely processing of drivers during these times? Delivery and Pick-up will occur on base at a specified facility. Drivers and passengers are expected to attain unescorted base access to enter base without escort. Vehicle must have current registration. Vehicles will be searched up arrival. The length of the process will depend on how busy the gate is. We cannot ensure a time length on how long it will take to get through the gate.
10. What is the expected turnaround time for each cleaning? 7days
11. Is there a current or previous contract for this same service? No current or previous contract.
12. Can you provide the value of the previous/current contract? N/A
13. Can you provide the name of the incumbent/awardee business, if there is one? N/A
14. What are the specific requirements for past performance? Past performance will be evaluated through the SPRS systems data base.
15. Do you require a local vendor preference? No
16. Do the linens require ironing?
Yes. Cleaned linen is expected to be wrinkle free.
