Sorbent Pads Contract Terms & Conditions
This is a contract terms and conditions document for sorbent pads to be supplied to the Department of Environmental Protection for the State of Maine. The contract period runs from April 1, 2010, through April 29, 2011, with the possibility of two additional one-year extensions. The contractor must furnish sorbent pads to meet the Department of Environmental Protection's normal requirements during the contract term. Deliveries must be made in minimum quantities of 200 bales per order, which may include multiple delivery locations across three designated sites. The contractor is responsible for providing 24-hour advance notice to the proper contact at each delivery location and ensuring all items arrive in first-class condition during normal receiving hours. All transportation charges are included in the contract price with FOB destination terms.
The estimated annual contract value is approximately $20,000, though the actual amount spent shall be based on quantities ordered during the contract term, whether more or less than this estimate. Contract prices remain firm throughout the duration of the agreement. Orders of $5,000 or less are transmitted via email to the vendor as PDF files, while larger orders require approval and encumbrance through the Division of Purchases' Buyers before being sent to the vendor. The State of Maine requires vendors to accept the State Procurement Card as a payment method with no surcharges allowed regardless of payment method. Vendors must submit detailed purchase summaries annually, issue separate invoices for each order number within 30 days of delivery, and reference the contract number and Federal ID number on all invoices. The State reserves the right to cancel the contract with 30 days' written notice or immediately if the contractor fails to conform to contract terms. The contract administrator is Lita C. DeSanctis, Buyer II, Division of Purchases. Political subdivisions and school administrative districts in Maine are permitted to benefit from this state purchasing agreement.
