3.3 DESCRIPTION OF PROCESS: SAMPLE 1: RES 2023 WEDNESDAY RECAP

How Many People were Involved?

Sky Bear provided a team of 8 to cover this conference and provide daily recap videos. Our team included 4 videographers, 3 Editors, and 1 Producer/Manager.

How Did you Collaborate?

Sky Bear worked closely with the NCAIED Comms Team (2 people), multiple people from the Event Management leadership team (5-7), the Stage management leadership team (5), and the hotel television station (3).

Sky Bear collaborates with the client (NCAIED) from the very early stages of the event planning. We develop motion graphics that appear throughout the conference, create content that promoted registration, worked with the client to develop speaker introductions, as well as any other video content that played throughout the conference. Additionally, we worked with the hotel to create an in-house TV channel that played several hours of content on repeat throughout the duration of the conference.

Because we have worked with NCAIED for so long, our collaboration is pretty fluid, when they have needs, they trust us to figure out how to address those need with video. We also assist in AV consulting when they are working with other main stage contractors, or dealing with hotel contracts.

How was the plan developed?

Our production process and the types of content we create have been developing for the past 5 years. Each year we adapt the types of content we produce as well as our processes for creating that content. Each year our goal is to better serve the client, make the process more efficient, and improve quality.

We originally started with just daily recap videos. Since then, we have expanded the content we produce to include branded motion graphics, monthly messages, weekly social media posts, live stream conference production, promotional content, and many other types of video content that promote the conference.

Did you set up a review process?

Sky Bear has always had internal review processes for our content. Given the urgency of conference videography with a 12-hour turn around, we wanted to make sure mistakes were caught early. Names and titles are double checked with the event website and pamphlets. Story and B-roll is review by multiple editors, the producer, and the client prior to airing the following morning. These reviews are done several ways a) live viewing in the editing room, or via notes through a Vimeo link. Our team also communicates via text, email, and other virtual platforms throughout the duration of the conference.

Additionally, two years ago we started an overview client review process, where a week or two after the conference we hold a recap meeting with the client. During this meeting we discuss problems we saw and potential fixes. This has allowed us to make larger structural changes with how we are working with the hotel and other contractors so that issues that we were experiencing in previous years are remedied for the following year.

3.3 DESCRIPTION OF PROCESS: SAMPLE 2: SIHB SPIRIT WALK 2022

Sky Bear provided a team of 2 to cover the filming of this event.

Our post-production team included one editor, and one motion graphics artist.

Collaboration was minimal for this event. Sky Bear had worked with SIHB previously on dozens of videos and events similar to this video. At this point in our relationship, SIHB trusted us to produce the video with minimal oversight. SIHB provided Sky Bear with the date and time of the event, and Sky Bear provided all necessary crew and gear to capture interviews and B-Roll

SIHB provided Sky Bear with a general outline of the day’s agenda. Sky Bear designed the production to require minimal planning and communication. The SIHB team would be occupied that day running the event, so our goal was to integrate ourselves as seamlessly as possible into the process. Our approach was to capture as much ‘man on the street’ interviews, and B-roll while on location. Sky Bear developed some questions prior to the day’s events to ask the participants.

We crafted the overall story and messaging during the post-production process. Motion graphics and other text elements were developed based upon SIHB’s pre-existing branding.

A final draft of the edit was delivered several weeks after production concluded.

Sky Bear provided SIHB with three drafts of the edited video. Each draft was submitted via a Vimeo link, and SIHB provided time-coded review notes through that link.

3.3 DESCRIPTION OF PROCESS: SAMPLE 3: SQUAXIN PARK RENAMING

Sky Bear worked with the City of Olympia and The Squaxin Island tribe throughout the entirety of this project.

Sky Bear provided 3 camera operators and one photographer to capture the celebration on October 10, 2022.

Two videographers were provided on separate days to capture interviews, and aerial/drone videography.

Post-production work was done by two editors. One focused on story, and a second provided motion graphics and other branding elements.

Sky Bear worked with the City of Olympia to identify interviewees and stakeholders for this project. From there, Sky Bear reached out the individual city officials, local stakeholders, and Tribal leadership to schedule interviews.

The majority of collaboration was done through phone or email.

On the day of the renaming ceremony, our goal was to capture the event from at least three different angles. Sky Bear received an agenda from the City of Olympia and we created a shot list based upon that agenda. Once the event started, the Sky Bear team communicated between each camera operator to guarantee that we weren’t in each other’s shots, and were getting the correct angles.

The plan for this event was developed after reviewing the agenda. Sky Bear organized our camera operators so that each was positioned from a unique angle and had a specific lens focal length. This guaranteed we would be able to cut between cameras without issue in post-production. It was also a strategy for capturing a variety of diverse angles and B-roll shots.

Two of the camera operators used long lenses which allowed for close ups on speakers and performers. A third wide angle was used as a “safety shot” that would work in case the other two cameras were making…
