About this file
This document is a set of questions and answers from a site visit for a lighting project at the Shawnee Correctional Center. The project requires the vendor to replace the light poles and fixtures, providing all materials, labor, and electrical work needed. The work must be completed by June 30, 2023. The vendor will be responsible for any damage caused to the existing concrete base when installing new anchor bolts, including any necessary repairs or replacement of the base. The use of Hilti HIT-RE-500-SD "or equal" anchors is allowed if the existing anchors are unusable. No additions to the project scope, such as replacement of the concrete bases, will be made at this time. The vendor's liability for the condition of the existing concrete base and anchor bolts should be reflected in their bid.
The document does not provide details on pricing terms, set asides, incumbents, funding requirements, or other salient commercial information. The focus is on clarifying the vendor's responsibilities and the condition of the existing infrastructure as part of the site visit process.

No. Only the poles and the light fixtures are to be replaced.
2. When does this project have to be completed by?
All work must be completed by June 30, 2023.
3. What is the vendor’s responsibility?
Vendor’s responsibility is to provide all the materials, labor, and electrical work that may be needed.
4. What is the age of the Concrete Base?
The base was installed in 1984.
5. What is the brand of the current material that is being used for the fixtures?
The brand currently on the light poles is Galleon.
6. Are we to re-use existing anchor bolts for new light poles? Or are we to use new anchor bolts by drilling next to the existing anchor bolts?
The vendor is responsible to ensure the light poles are secured to the concrete base using the existing bolts.
7. If the Vendor will drill new anchor bolts into existing concrete bases, the Vendor will not responsible or liable for any potential cracks, or breakage on existing concrete base?
If the vendor has to drill into the concrete base to install new bolts, they will be responsible for any damage to the base. This includes any additional work to repair the damaged base or install a new concrete base, anchors, wiring, conduit, etc., if repairs can’t be made
8. We, as the Vendor, have a concern about the condition of the existing concrete base and the existing anchor bolts. Please confirm that the Vendor will not be liable and responsible for the existing concrete base and existing anchor bolts, when new light pole and fixtures will be installed?
If the vendor must drill into the concrete base to install new bolts, they will be responsible for any damage to the base. This includes any additional work to repair the damaged base or install a new concrete base, anchors, wiring, conduit, etc., if repairs can’t be made
9. Will IDOC - Shawnee Correctional Center, consider including in this Project, the replacement of concrete bases with new anchor bolts, and new electrical connections through the new concrete bases? It is a big concern of the age and conditions of the concrete bases.
No additions will be made at this time and the project should be bid as specified. All liability falls on the vendor and this should be reflected in their bid if they so choose to submit one.
10 . Are we approved to use Hilti - HIT-RE-500-SD "Or Equal" with V Rod anchors? This option would only be recommended if the existing anchor bolts are rusted or stripped beyond the point of use. We could cut the existing anchors off flush. Then drill new anchor bolts with new epoxy?
Chief is unsure, would need the specs to be sent over for review.
