About this file

This is a Standard Form 18 Request for Quotation (RFQ) issued by the American Embassy Procurement Office in London on February 17, 2026, for preventive maintenance services of computer room air conditioners (CRAC) located in the U.S. Embassy Chancery building. The RFQ number is 19UK5626Q0018, and quotations must be submitted to Susan Perry at the Procurement Office by March 20, 2026, at 5:00 PM GMT. The solicitation covers a base year plus four option years of annual preventive maintenance service for two CRAC units, with service required during weekdays (Monday through Friday). Quoters must provide pricing for preventive maintenance visits (excluding VAT) for each contract year and may also submit fixed hourly labor rates for repair work. The RFQ specifies that an award will be made to the lowest priced, technically acceptable offeror on a firm fixed price basis, with payment made via electronic funds transfer upon completion of services.

The procurement office has scheduled a mandatory site visit on March 9, 2026, at 10:30 AM local time at the embassy location; attendee names must be submitted by March 3, 2026. Technical questions are due by March 12, 2026, with answers provided by March 17, 2026. The document notes this is not a small business set-aside and requests that all required representations and certifications be completed by the quoter. Supplies are presumed to be of domestic origin unless otherwise indicated. Quoters unable to submit must notify the issuing office, and the government reserves the right not to award based on this RFQ.
