About this file

This document is a Seller Checklist for Small Purchases issued by the City of Philadelphia Procurement Department through the PHLContracts platform. The checklist provides step-by-step instructions for vendors responding to the City's Agilaire annual software 2027 support micro purchase opportunity in Pennsylvania. The micro purchase will be awarded as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Sellers must quote all items to be eligible for award and shall not deliver or provide services until notified by the department. This is a requirement purchase with no specified response deadline, due date, site visit, or bidder's conference noted in the documentation.

The checklist requires sellers to complete multiple steps including confirming seller role status, selecting Local Business Entity (LBE) certification status, entering unit costs for each item, answering mandatory questions, accepting terms and conditions, and submitting required attachments. All vendors must have an executed Consent & Authorization form on file; quotes without this form will not be considered. Vendors may optionally submit the LGBTQ Applicant Opportunity Data Form. The checklist emphasizes that vendors must click "Save & Continue" on every tab to avoid red validation messages and must address all warnings before submission. No pricing information, contract term length, renewal options, or funding sources are specified in this procedural document.
