SUMMARY OF CHANGES

SECTION SF 30 - BLOCK 14 CONTINUATION PAGE

The following have been added by full text:

SF 30 CONTINUATION SHEET

The purpose of Amendment A0001 to Solicitation S5121A-23-Q-0008 is to provide answers to questions received from industry:

Question 1: CLIN 0002- Daily Commuter Attendance Fee- Are these estimated 10 attendees included in the 250 head count? Or could there be 260 total attendees?

Answer 1: They are included in head counts per day, but typically will not spend the night unless a room is unused. See para 4.3.1.6. Local commuter daily conference fee – 10 people daily (30 total) from September 12 – September 14, 2023; includes lunch, refreshments and conference fee.

Question 2: Per PWS 4.2.2- Sept 11 dinner- should the total for dinner be for 210? Or 210 new attendees + 40 who have been there all day = 250?

Answer 2: Meals would be for the maximum of 250 on 11 SEP.

Question 3: What setup is needed for the Main Auditorium room? Rounds/Banquets?

Answer 3: Banquet seating is most preferred.

Question 4: Will all meals be eaten in the Main Auditorium or does a separate space need to be provided?

Answer 4: A separate dining facility/area is most preferred for all meals so as not to have to pause for conversion of the main auditorium into a dining area.

Question 5: Does the Staff/meeting breakout room need to be reserved for use on Friday 15 September? If so, how long?

Answer 5: It needs to be available up to ~10 am to facilitate a quick after action team meeting and to move out any conference equipment. Does not need to be available all day on Fri.

Question 6: Do you allow minor deviations from the F&B menu options listed in the RFQ? Though the solicitation lists the menu items for the meal periods, I'm interested to know if you will accept comparable options.

Answer 6: Minor deviations could be acceptable; however, we are not looking for packaged food options for main meal food and beverage requirements. Packaged options could be available for morning and afternoon snacks.

Question 7: Is AOTS only offering room, taxes and organized meals for the attendees to the master account or all meals and incidentals at leisure included?

Answer 7: Rooms and meals and morning/afternoon snack are included in the contract. If personnel opt to purchase coffee and muffins at a coffee shop and after hours food and beverage at hotel bar/restaurant, it will be purchased with personal accounts.

Question 8: Is there a hierarchy in terms of the guest list or room type priority given to higher ranks?

Answer 8: This is not a requirement in the PWS.

Question 9: Are the attendees calling to reserve their own rooms or will a rooming list be provided once the contract is awarded?

Answer 9: We can provide a by-name room list. We do expect a POC to work with for any last minute changes.

S5121A23Q0008

Question 10: Will the contractor/awardee be able to know if there are attendees with dietary restrictions?

Answer 10: Hopefully there are enough food options to allow individuals to select options best for them. We will include instructions to let personnel know to inform the desk on check in if they have dietary food restrictions.
