USDA-NRCS Kentucky – Obsolete multimedia equipment disposal
FY23
Statement of Work
C.1 Background
The United States Department of Agriculture (USDA) Natural Resources Conservation
Service (NRCS) Kentucky has need to collect, transport and dispose of multiple obsolete copier and multimedia machines across the state. Existing machines function poorly or are incompatible with existing business tools and practices. Obsolete equipment exists in over 33 locations throughout Kentucky. The majority of the obsolete equipment is in excess of 75 lbs. and oversized/bulky. All obsolete or non-functional machines need to be picked up from the interior of included office locations, loaded into vendor vehicles, transported to a disposal facility capable of properly disposal and disposed of in accordance with federal law mandating destruction/disposal of Information Technology equipment in an environmentally sound and timely manner. Removing these pieces of equipment will allow field offices to house more employees per field office, make way for more efficient and functional replacement machines and allow offices to reserve necessary field supplies that are currently stored offsite due to lack of on-site storage.
Increased workforce, improved business tools and more convenient supply access for field employees will enable NRCS-KY to carry out USDA’s mission in a more timely and efficient manner. Requirements for this purchase are detailed below.
C.2 Requirements/Deliverables
Vendor shall provide the specified services related to on-site pickup of equipment, transportation to an appropriate disposal facility and confirmation of collection via signature as detailed below.
Product/Specifications
Vendor shall provide the following services to the NRCS-KY field offices as described below:
1. Removal of indicated obsolete printers and multimedia devices from interior of field offices.
2. Loading of collected equipment onto vendor-provided transportation vehicle.
3. Confirmation of equipment collection by signature of representative on each equipment disposal form (AD-112).
4. Transportation of collected equipment to disposal facility.
5. Safe and appropriate disposition of collected equipment as required by federal law.
C.2 Service Requirements
Field office Points of Contact listed below must be consulted to coordinate pick-up date and time at least 24 hours prior to collection.
Vendor representative(s) will sign form AD-112 form for each piece of equipment collected from field offices prior to vendor departure enroute to disposal facility.

All pickup appointments shall be scheduled during normal working hours, Monday through Friday (except Federal Holidays) from 8:30 AM to 4:30 PM EDT.
