About this file

This file is Part 3 of the Questions and Answers section for RFQ1301330024, updated February 23, 2026. It addresses clarifications regarding hotel and conference facility requirements for an event in May.

The procurement requires a 15-sleeping room conference block at the federal per diem rate of $199 per night for May 5, 6, and 7, with rooms paid by individuals rather than the government. The venue must be located within a five-mile radius of NPS with no flexibility on this requirement, though an adjacent hotel is acceptable if it is less than a 5-minute walk away. The command center requires a 4,600 square foot ballroom with no specified ceiling height restrictions; load-in and adjacency considerations are to be proposed by the hotel AV team. MS Teams webinar upload and download speed requirements are to be proposed by the hotel AV team based on Performance Work Statement requirements. The procurement scope is limited to hotel sleeping rooms, conference space, and AV technical support only, with no food and beverage services required. All proposals must meet minimum technical requirements to receive an "Acceptable" evaluation.

RFQ1301330024 Q&A (Part 3)

7. Section 3.3 references a block of fifteen (15) sleeping rooms at the federal per diem rate for May 5, 6, and 7. Please confirm this is fifteen (15) rooms per night on each of the three nights listed.

That is correct. Per the PWS, a 15-sleeping room conference block for the nights of May 5, 6 and 7th at the rate of $199 each night (federal per diem). To clarify, they will be paid for by the individual, NOT by the government through this contract.

8. The PWS notes the venue must be within a five (5) mile radius of NPS. Is there any flexibility within that radius if a property otherwise meets all technical and per diem requirements?

Unfortunately not. The NPS team runs the event with the AV personnel; proximity to NPS is necessary.

Additionally, would a hotel adjacent to a qualifying conference facility be acceptable if all requirements are satisfied within a single integrated event footprint?

That depends; YES, if the adjacent hotel is less than a 5-minute walk. Otherwise, it would not be acceptable.

9. Beyond the stated 4,600 square foot ballroom requirement for the command center, are there any additional ceiling height, load-in, or adjacency consideration we should account or in our proposed layout?

There are no additional ceiling height considerations; as for load-in or adjacency consideration, that is up to the hotel AV team to propose. (Must meet all minimum technical requirements in accordance with the solicitation to receive an evaluation of “Acceptable”).

10. For the MS TEAMS webinar environment, are there minimum upload/download speed requirements that need to be specified?

This is for the hotel AV team to propose based on the PWS requirements.

11. Please confirm that no food and beverage services are required under this procurement and that the scope is limited to hotel sleeping rooms, conference space, and AV technical support as outlined in the PWS.

Updated: 2/23/2026

There is no food and beverage service. Per the PWS, a 15-sleeping room conference block for the nights of May 5, 6 and 7th at the rate of $199 each night (federal per diem), Conference space, and technical AV support for the Command Center are all that’s required through this contract.
