About this file

This document is a Request for Quote (RFQ) issued by the Illinois Department of Veterans Affairs (IDVA) for their Annual Field Services Training to be held from May 22, 2023 through May 25, 2023. IDVA is seeking conference room and lodging accommodations in any one of the specified Illinois counties for an expected 120 attendees. The required services include conference room space, lodging, catering, and audiovisual equipment on the specified dates and times. Vendors must submit quotes by the due date listed in BidBuy, the state's procurement platform, and the selected vendor must be able to provide all the required services at the lowest price.

The RFQ outlines detailed specifications for the conference room setup, lodging requirements, catering, and audiovisual needs for each day of the event. COVID-19 protections are also required per state executive orders. The vendor quote must include all expenses such as parking costs and be valid for 90 days. The state reserves the right to reject all offers and to cancel the event up to 72 hours in advance.
