About this file

This is a Request for Quotes (RFQ) issued by the Bibb County School District Procurement Office in Georgia for Band Repair Services across all district school locations for fiscal year 2026-2027. The RFQ solicits qualified vendors to provide band instrument repairs for brass, percussion, and woodwind instruments either on-site using mobile service vehicles or at the vendor's place of business. The district comprises 38 school locations under the Fine Arts Department. The RFQ was issued on June 9, 2026, with a deadline for questions on June 18, 2026, at 8:00 a.m. EST and a proposal due date of June 25, 2026, at 8:00 a.m. EST. All submissions must be completed online through the BONFIRE portal. The contract term is for one year covering the 2026-27 school year with an option to renew for the next four years. Dr. Elaine M. Wilson serves as the RFQ buyer contact. The district prefers a vendor located within 250 miles due to delivery schedule requirements.

The RFQ requires vendors to provide both lowest and highest cost pricing for each repair item, with pricing remaining valid throughout the performance period. Vendors must complete the majority of band instrument repairs within seven business days of request through the Fine Arts & Magnet Programs department and must provide written estimates for repairs exceeding half the instrument's value to the district. All instruments must be tagged with specific authorization numbers, and vendors are prohibited from appearing on-site at schools without prior appointment arranged through the Fine Arts department. The district will conduct a comprehensive evaluation based on pricing and delivery criteria, with final contract approval subject to the District Council's action. Payment will be made from the FY 2026-2027 General Fund. The RFQ reserves the district's right to reject any or all proposals, cancel the entire solicitation, or accept proposals in whole or in part.
