About this file

This document is an Addendum 1 for RFP A25-0184, containing questions and answers related to an Annual UPS Service/Maintenance Agreement for Ames National Laboratory. The Q&A covers key technical and operational details, including occupation codes, Service Contract Labor Standards compliance, specific UPS unit maintenance requirements, and maintenance expectations. Notable points include the requirement for two qualified electrical workers during switching per NFPA 70E, preventative maintenance to be scheduled during normal hours, and clarification that some UPS units with limited funding should still be quoted. The document also indicates that not all listed UPS units were previously under a full service agreement, and pre-existing equipment conditions requiring repair would be billable to the contractor.

Addendum 1 for RFP A25-0184

1. Q: Could you confirm if the Occupation Code 23183 is the only one applicable, or should we consider additional codes?

A: We can accept additional codes. Please provide the code number with your proposal if it is different than 23183.

2. Q: Are there any specific compliance requirements for the Service Contract Labor Standards that we should be aware of?

A: All requirements must be met. Here is a link that can be helpful:

3. Q: Regarding Attachment B Exhibit 1: The UPS located in WI 335 is an Emerson UPS. Do you have the Model number of this UPS? I see there is a serial number noted. Also, at the bottom of the column it notes “No Project Funds to support maintenance”. Should we exclude this unit from our response?

A: It would be preferred obtain per UPS pricing. Those from column P (to the right of TASF B04) are units that we would like to get included in a service agreement, however as mentioned have limited means for funding. It will depend on the pricing. HWH 335 Emerson SL-24534.

4. Q: Regarding Appendix B Scope of Work: confirm that we need to provide TWO field service engineers, one acting as a watchperson, for maintenance.

A: Per NFPA 70E we would need two contractor provided qualified electrical workers during switching.

5. Q: Are the PMs to be performed Normal Hours / After Hours / Weekend Hours?

A: Preventative Maintenance (PMs) would be expected to be scheduled during normal hours.

6. Q: For the Emerson unit (WI335), it states “no project funds to support maintenance” …should this unit still be quoted? If yes, can you confirm the UPS Model?

A: See answer to question 3 above.

7. Q: Have all listed UPS units been under a Full Service Agreement this past year?

A: No, we are adding UPS units to the service agreement this year to cover more at the laboratory.

8. Q: Are any units currently in alarm status and/or known to need of repair?

A: No. However, there are UPS units with components that are past recommended life.

9. Q: If a unit is deemed to have a “pre-existing condition” prior to the 1st round of PM service/start of contract and needs repair, would that repair be billable?

A: Yes.

10. Q: Are any past maintenance reports, service records, or equipment histories available for these systems?

A: We have some maintenance reports and service records for the systems, but it may not be a complete list.
