About this file

This is Addendum #1 to Request for Proposals RFP-26-03 issued by the City of DeLand, Florida Finance Department for Multi-function Printer Devices (Citywide). The RFP seeks a qualified contractor to provide multi-function printer devices, maintenance services, and copy paper to support citywide operations. Based on historical usage data from 2022 forward, the City has utilized 3,045,531 black and white copies and 4,754,105 colored copies. The City currently operates multiple speed printers, including an 80ppm Lexmark/XM3250 model in the Police Department, and uses eXpressPROX composite RFID card readers. While the minimum speed requirement for new equipment is 30-40ppm and up, the City prefers to maintain multiple speed capabilities across departments. The proposal submission deadline is January 6, 2026 at 2:00 P.M.

This addendum clarifies specifications and operational requirements in response to contractor inquiries but maintains all other original terms and conditions of the RFP package unchanged. Prospective contractors are required to acknowledge receipt of Addendum #1 with their proposal submission. No pricing terms, funding sources, or set-aside information is detailed in this addendum document.

CLARIFICATION TO QUESTIONS ASKED RECEIVED:

1. Q: Can you provide a total meter rather than 2024 usage?

A: From 2022 forward- The total for black and white copies is 3,045,531 and the total for colored copies is 4,754,105

2. Q: Can you provide what type of card readers the city is using?

A: eXpressPROX composite RFID card

3. Q: Do you know the model of the Lexmark in the Police Dept?

A: Lexmark/XM3250

4. Q: In minimum specifications it states 30-40ppm but you have some 80ppm currently. Does speed matter for those departments with 80ppm or is 40ppm acceptable for those as well?

All other terms and conditions remain unchanged.

Sincerely, Corey McMillen, CPPB Purchasing Manager
