REQUEST FOR PROPOSALS #2023-108

BALLOT PACKET PREPARATION AND MAILING SERVICES

RESPONSE TO CLARIFYING QUESTIONS

February 6, 2024

Note that these are questions submitted by interested firms to the above referenced solicitation. The below answers are for clarification purposes only and in no way alter or amend the RFP as published.

1. In the RFP page 7, we noticed that Section 3.3.2. titled “Work Schedule” did not have text following the heading.

What is requested from the Vendor in regard to the Work Schedule in the Scope of Work?

Answer: Election ballot insertion timelines will vary based on the type of election being conducted. Work shall be performed in accordance with a schedule approved by the County.

2. We noticed on the Proposal Certification page that an Oregon Business Registry Number was requested. Is it a requirement to participate in the RFP for the Vendor to be located in Oregon and/or have an Oregon Business Registry Number? If so, could we still qualify to participate in the RFP as a Vendor headquartered in IL with strategic partners in Oregon?

Answer: Out of state may submit for this project but note that the selected firm must be current with the Oregon

State Business Registry in order for contract execution. Further details can be found at https://sos.oregon.gov/business/pages/starting-business.aspx.
