The RFP seeks a comprehensive managed print service solution covering 145 multifunctional printers (MFPs) across the district, including 103 small MFPs and 42 medium/large MFP copiers. The printers range from 30-125 pages per minute and will serve various users such as café managers, administrators, principals, secretaries, and technology staff. The contract is structured as a five-year lease agreement with an option to renew for one additional year, with proposals due by 2 PM on December 18, 2024. The anticipated timeline includes contract award on January 14, 2024, delivery and installation from March 3-31, 2024, with service beginning April 1, 2024.

The pricing will be based on a per-impression metered usage model, with specific monthly impression requirements for different printer types. For small desk MFPs, the monthly requirements are 25,000 monochrome and 10,000 color impressions, while medium/large MFPs require 1,000,000 monochrome and 65,000 color impressions. The vendor must provide comprehensive maintenance and support, including consumables, parts, automatic supply replenishment, and on-site technical support. The evaluation will be a four-stage process focusing on ability to meet specifications (20 points), price and support (40 points), service (35 points), and training (5 points). Vendors must also provide background-checked technicians, offer web-based fleet management, and ensure compatibility with existing systems like Papercut and OpenText.
