About this file

This is a Request for Proposals (RFP) issued by Assabet Valley Collaborative, an educational service agency serving Metrowest and Central Massachusetts, for comprehensive IT Managed Services. The RFP seeks a qualified Managed Service Provider to deliver 24/7 help desk support, server and network monitoring, patch management, cybersecurity services, disaster recovery planning, device deployment, and strategic IT planning across six locations supporting approximately 100 staff and 100 students. A non-mandatory pre-proposal meeting is scheduled for April 21, 2026, at 11:00 AM via Zoom, with written questions due by April 24, 2026. Proposals must be submitted in two separately sealed envelopes (Non-Price and Price Proposals) by 1:00 PM on May 11, 2026, with ten hard copies and one electronic PDF copy required. The contract term is three years beginning July 1, 2026, through June 30, 2029, with two optional one-year renewal periods extending through June 30, 2031. Board award is anticipated for early June 2026.

Pricing terms are to be submitted separately and evaluated after non-price criteria assessment using a weighted scoring methodology that allocates 15% weight to cost alongside technical approach (20%), experience and qualifications (15%), service delivery model (15%), cybersecurity capabilities (15%), staffing and personnel (10%), and references and past performance (10%). Assabet Valley Collaborative currently operates a mixed technology environment including Windows PCs, MacBook Airs, approximately 100 Chromebooks, Google Workspace, cloud-based student and financial systems, one primary 2023 server, and multiple network infrastructure components across six sites. The organization faces key challenges including aging infrastructure at the Orchard Street Academy facility, a mixed device ecosystem, limited internal IT resources, and a need for improved cybersecurity posture and scalable support. The selected vendor must maintain general liability, professional liability, cyber liability, and workers compensation insurance; pass CORI background checks; and comply with FERPA and Massachusetts data privacy laws.
