About this file
Addendum 1 for the Bend Park & Recreation District's Request for Proposals (RFP) for Logo Wear Apparel and Promotional Items addresses vendor questions regarding the procurement. The document clarifies that promotional items will be ordered on an as-needed basis, with typical quantities including 3,500 lip balms, 250-500 ring fliers (Frisbees), 500 bike lights, 1,000 sunglasses, 500 reflective arm bands, 500 pet bandanas, 500 water bottles, 250 pet waste bag dispensers, and varying quantities of stickers and tote bags. Initial orders for employee logo wear and select promotional items may begin immediately upon contract execution. The RFP seeks a vendor to provide a comprehensive range of branded apparel and promotional products.
The addendum reveals that the average annual spend with the current vendor is $38,400, and the online storefront must comply with federal accessibility standards, support secure credit card transactions, and include custom selections for different employee groups. The document specifies that the logo wear should use the district's brand style guide, which includes Pantone color specifications, and offers guidance on logo usage, including preferred shirt styles (crew neck) and no specific preferences for screen printing inks. The vendor must develop a website with a visual component and size charts, ensuring a user-friendly shopping experience for both organizational and individual purchasers while maintaining the district's "Play for Life" branding aesthetic.

CLARIFICATIONS:
Q1: Could you please provide a minimum order quantity (MOQ) for the promotional items? Will the quantities listed in the RFP be ordered each time, or are they the total quantities for the duration of the contract?
A1: Promotional items will be ordered on an as-needed basis. Quantities will vary depending on programmatic and promotional needs. The figures provided in the RFP reflect typical purchase volumes or potential reorder quantities over the course of the contract term. Examples include:
• Lip balm: 3,500
• Ring fliers (Frisbees): 250–500
• Bike lights: 500
• Sunglasses: 1,000
• Reflective arm bands: 500
• Pet bandanas: 500
• Water bottles (plastic): 500
• Pet waste bag dispensers: 250
• Stickers and tote bags: quantities vary
Q2: What is the expected in-hand date for the initial order?
A2: Order timing will vary depending on item type and program need. Initial orders for employee logo wear and select promotional items may begin immediately upon contract execution.
Q3: Can you provide the previous bid tabulation?
A3: Due to staffing transitions, records from the previous solicitation are not available.
Q4: Do you have Pantone color numbers for your logos, or should we color-match from the samples provided in Attachment D?

Q5: For the 2,500 bike lights, are you seeking front LED lights, rear safety blinkers, or another specific type?

Bend Park & Recreation District Style Guide 6
LOGO USAGE: TRADITIONAL VS. BRANDING STYLE
TRADITIONAL, THREE-COLOR LOGO:
The district’s traditional, three-color logo should be used for all official business. This is the logo that has been associated with the district for many years, and will be associated with the district for years to come. Examples of use of the traditional logo include:
| • | Official correspondence |
| • | Legal documents |
| • | Signage |
| • | Business cards |
| • | Plans |
| • | Nametags |
| • | Public presentations* |
| • | Board communications |
| • | Press releases |
| • | Uniforms and official logo wear: |
• The official district logo should be worn on all professional-wear, with the “play for life” branding artwork ap-plied secondarily.
• Colors are specified in the Logo Wear policy.
BRANDING LOGO:
“Play for Life” and the associated design standards represent our brand. A branding look/feel is not used forever, but is a body of work designed to send a message at this time in our organiza-tion. The district’s logo doesn’t change, but the treatment of it does. When using the district logo, use it in solid white within a designated block of color. Use the “play for life” tagline artwork as specified in these design standards. Examples of when to use the branding logo and “play for life” artwork:
| • | Promoting programs and services |
| • | Advertising and marketing |
| • | Promotional fliers and posters |
| • | Public presentations* |
| • | Uniforms and branding-wear: |
• Staff are encouraged to wear branding-wear while teaching recreation programs, putting on events and rep-resenting the district to the general public. The “play for life” artwork takes priority over the District logo, though both are important and used together.
| • | Options and standards for branding-wear: T-shirts and polo shirts. |
| • | Colors are specified in this Style Guide: brown, periwinkle, orange, purple and bright green. They are bright and |
colorful. The “play for life” artwork is to be white or black.
Bend Park & Recreation District Style Guide 7
LOGO USAGE
Because we believe our logo is a symbolic mark that continues to identify who we are to our community, we didn’t alter it, but we did explore ways to use it so that it would be consistent with our new color choices. We are recommending that, wherever possible, we use a solid white (reversed) version of our logo positioned against a black or solid color “tag.” Position, size and color, along with the spatial and proportional relationships of the logo elements are predetermined and should not be altered. Again, if you have any questions, give the Marketing Team a call.
RESIZING
The icon and font that make up the logo should NEVER be re-sized independently of each other.
EFFECTS
The logo should never have special effects applied. This includes displaying it at an angle, distorting the shape or cropping in any manner.
ACCESSING THE FILES
The artwork is available on the P Drive in the Community Relations folder. Look for “Graphics” then “BPRD Play for Life Branding Campaign.”
Bend Park & Recreation District Style Guide 8
LOGO COLORS
It’s important to use the logo colors consistently.
Use the following colors along with black and white.
FILE FORMATS
Understanding the basic applications of various file formats will help ensure a quality reproduction of the logo. If you are working with an external vendor, be sure to ask which file type is preferred for any given application.
EPS: (Encapsulated Post Script) EPS files are best for applications such as full-color printing, spot color printing (t-shirts, banners, etc.) and for insertion in design programs like InDesign and Illustrator. They are also scalable, so they provide a good amount of flexibility.
JPG or JPEG: (Joint Photographic Experts Group) JPG files are best suited for on-screen applications such as websites and PowerPoint presentations. If they are low-resolution, they should not be scaled to large formats.
GIF: (Graphics Interchange Format) GIF files are designed strictly for on-screen formats ONLY. They are low-resolution and should not be scaled beyond their original size.
TIFF: (Tagged Image File Format) TIFF files are often hi-res images that while being flexible in the ability to size, limits the ability to alter the image (and typography) elements.
FULL COLOR LOGO
The full color logo (shown below) is for official district use. Please use the reversed white logo for marketing efforts.
HORIZONTAL LOGO
Use the horizontal format sparingly. When possible use the vertical format as default.
district usemarketing use
Use sparingly.

PLAY FOR LIFE TAGLINE ARTWORK USAGE
Make sure there’s plenty of breathing room all around. Have at least .5 inch around it.
Never, ever on a busy pattern.
A tagline is a brief phrase used to relay a brand’s value. We use our tagline “Play for Life” to create a lasting impression and tell our patrons about BPRD without ever mentioning who we are or what we offer. Because our tagline is so compelling and unique, we recommend that the area immediately surrounding it be kept free of distraction in order to preserve the integrity of the tagline and best showcase the words. We recommend avoiding strong colors and visually distracting backgrounds and suggest keeping at least a .5-inch safety area around the tagline. To help the “Play for Life” tagline stand out as needed, do not use any script fonts in your layout. Various colors and file formats are available on the server.
Not so tiny that it’s unreadable.

Main Colors These core colors are to be used for headlines, large boxes and backgrounds.
Use one main color with other colors (main or accents) as accents. Use a maximum of four colors plus white in layout.
Accent Colors Accent colors are the “spice” or “pop” for a piece. Use sparingly to highlight text or a graphic. For example, use for call-out text boxes, circles or a subhead. Do not use these colors for large boxes, backgrounds or header text.
Color conjures strong visual associations and is an important component of the BPRD style guide! Following is a breakdown of the color palette. Colors are specified as PMS (Pantone®) numbers, CMYK (for print use) and RGB (for web use) breakdowns. There will be color themes set up for you in Publisher and Word.

FONTS
The typography chosen for the Play for Life tagline was selected to convey the personality and voice of the new brand.
The sans-serif style for headlines was favored for its legibility and strength of communication, as well as its friendly persona and approachability. The serif font for the body copy was selected for its classic good looks and style, confident, but not snooty. In order to protect the integrity of our brand, the logotype must never be altered or replaced by any other type in communications and marketing materials.
Font files are available on the server (public/Graphics/Play for Life Branding Campaign/Play for Life Fonts) for your use on your PC. Simply open the font files and click “install” to add to your computer’s font file folder at C:\Windows\Fonts.
You may need to close and re-open your software before you can use the font.
- These fonts are for use in promotional design (flyers, postcards, ads) and not for district communication.
- Do not add effects to the fonts. Bold and Italic treatment is OK.
- Use only these fonts. No substitutions.
