The city expects the selected contractor to provide paper cut metrics, proactively monitor and ship ink and toner, supply copy paper, implement swipe access for device usage, and place contact information stickers on each device.

The RFI emphasizes the need for reliable, knowledgeable maintenance technicians and high-quality customer service. Respondents are required to submit a fifteen-page overview including firm history, key staff resumes, contact information, maintenance licenses and certifications for Konica Minolta, HP, and Lexmark, and references from similar clients. The successful contractor will be required to carry specific insurance, including workers' compensation, comprehensive general and auto liability (with $1,000,000 combined single limit), and professional liability insurance for errors and omissions. This is not a formal solicitation, and response is not mandatory, but it allows the City of DeLand to gauge market interest and potential service capabilities for their printer and copier maintenance needs.
