About this file

This document is a response to offeror questions regarding a Request for Proposal (RFP) for Managed Print Services issued by the University of South Dakota (USD). The RFP seeks proposals from qualified vendors to provide managed print services, with the goal of minimizing costs while maintaining or improving current services. USD intends to award a single contract to the responsible vendor whose proposal is most advantageous. The RFP covers services for USD's main campus in Vermillion, the Sioux Falls campus, the Health Sciences location, the School of Medicine in Yankton and Rapid City, and various other Sioux Falls locations. The RFP provides details on the current print environment, including over 500 desktop printers and a Pharos print management system, and it outlines the requirements for the new managed print services solution, such as authentication methods, consumables, and data wiping. Vendors are not permitted to contact USD staff other than the designated contact during the RFP process.

Regarding pricing, the RFP states that pricing should be provided by device, and vendors may propose the number of devices to right-size the solution. USD will handle internal billing, but the awarded vendor must provide accurate reporting to support the process. The RFP does not mention any set-asides, incumbents, or specific funding sources, but it does reserve the right for USD to separately procure individual requirements during the contract term.
