The solicitation requires bidders to submit sealed bids by April 22, 2026, at 3:00 p.m., with questions due by April 6, 2026. The successful contractor will provide MFPs capable of copying, printing, scanning, and faxing operations with network connectivity to the Volusia County system. Bidders must demonstrate comprehensive insurance coverage meeting specific requirements: workers' compensation with Florida statutory limits and waiver of subrogation; commercial general liability with $1,000,000 per-occurrence and $2,000,000 general aggregate limits, including contractual liability, county as additional insured for premises-operations and products-completed operations, with waiver of subrogation; auto liability with $1,000,000 combined single limit (or hired and non-owned auto coverage if the contractor owns no vehicles); and professional liability (Technology Errors & Omissions) with $1,000,000 occurrence/aggregate coverage. All policies require thirty days' written notice of cancellation to the Certificate Holder at the Volusia County Purchasing & Contracts Division. Pricing shall be submitted on a cost-per-copy basis inclusive of all labor, equipment, materials, and supplies, with anticipated annual copy volumes of approximately 8.7 million copies, and award determination based on the lowest total cost over the three-year initial period using specified copy volume multipliers of 3,668,424 for black and white and 5,019,864 for color copies.
