About this file
This is a Questions and Answers document for RFP-125549, a copier procurement for Fairfax County Public Schools (FCPS) in Virginia. The document addresses technical specifications and requirements for five copier models and related services. FCPS requires copying and scanning functionality on all units with document feeders included on all production devices. The school division specified distinct paper tray configurations for each model: Models 1-3 require multiple trays with high-capacity options, while Models 4-5 require single paper trays. FCPS will utilize a maximum paper weight of 80# with occasional glossy paper usage (approximately 500 copies annually for one special program). The division produces various finished products including full and half-size booklets, notepads, NCR pads, and comb-binding books with booklet specifications of 20-25 full pages folded in half on 20# paper. Black and white production machines should accommodate 5 drawers with 8,000-page maximum capacity, while color production machines require 4 drawers with minimum 6,000-page capacity.
The school division currently operates 23 POTs lines and an electronic fax solution processing approximately 2,500 faxes monthly across approximately 1,200 users. FCPS requires integration of the fax solution into the winning copier vendor's system with secure fax capabilities meeting HIPAA, FERPA, and other regulatory compliance requirements. The division currently operates a Fiery front-end unit on a color production device with embedded OS architecture, though it has experienced connectivity issues with RSA printshop software. FCPS requires all systems including WebCRD, RSA, Papercut, and the fax service to communicate coherently through the copiers, with vendor support for data migration, integration troubleshooting, and potential data imports. The division prefers 24/7 phone contact availability for ongoing customer support and does not currently require consultant assistance for vendor negotiations.

I am working to submit Cloud Fax solution proposal for RFP-125549. Would you please confirm number of users and current Fax solution details?
We have an estimated 2,500 faxes per month between 23 POTs lines and an electronic fax solution. There are multiple users, basically any staff member has the ability to fax. We want the fax solution to be integrated into whatever copier wins the contract.
Regarding the cloud fax solution . . .
Total Number of Users All users in our district have the ability to fax. 1200 Users Number DID’s 23 Number of TFN’s 0 SSL Required Secure fax that meets HIPAA, FERPA, and other regulatory compliance is required Are you open to working with a consultant to help you negotiate with your selected vendor?
Not at this time
Do any models requested (models 1-5) require throughput paper size s larger than legal size? If so, which models?
As long as the copiers have a bypass tray that will go up to 11x17 or 12 x18 we do not need a drawer that will hold this. We print very few of this size on small printers.
How many paper trays are needed, per model, for all models?
Model 1 - 3 trays with one high capacity tray Model 2 - Min of 2 trays - prefer 3 - current max 3560 pages Model 3 - Min of 2 trays - prefer 3 - current max 3650 pages Model 4 - one paper tray - current max capacity 600 pages Model 5 - one paper tray - current max capacity 600 pages
Does FCPS utilize Fiery front ends for any of your current production devices? If so, are they Windows based? Please provide model numbers.
We currently have a fiery unit installed on our current color production unit. We have not had much success with this as we have had more problems with it connecting to RSA our printshop software. It is not windows based it is embedded OS.
Will FCPS be more specific regarding paper type and weight for throughput? Coated, Type and Weight. (We have your paper catalog) Is it safe to assume that #80 cover is the heaviest paper throughput?
At this time 80# paper would be the highest we use. We do not use any coated paper on a normal basis. Once a year we will print on a glossy paper about 500 copies. This is only for one special program. We could state we will no longer use glossy if this will make a difference in price.
Do FCPS require scanning and copying for all units? yes
Do You need document feeders on all production units? yes
What is the maximum number of sheets needed for booklets? 20-25 full pages fold in half 20# paper
Will FCPS provide configurations, per device, regarding the number of paper trays/capacity needed? Models 1-5 list above. Black and White Production machines should have 5 drawers current max 8000 page capacity between drawers. Color Production machines should have 3 small drawers and 1 high capacity drawer. Total of 4 drawers. Should hold at least 6000 pages.
Will FCPS provide a “brand guide” for important school colors? CMYK - no special colors
Will FCPS provide a list of finished applications produced, other than booklets? We print full size booklets, half size booklets, letters, comb binding books, hole punch and dual staple books, hole punch and single staple books, notepads, NCR pads
Please elaborate on Ongoing customer support (24/7 preferred) o On-site 24/7?, helpdesk 24/7?, support ticket submittal 24/7? We prefer to be able to contact someone by phone 24/7.
Please elaborate on Data migration and integration support We would want all our systems to work coherently. This would mean communication from WebCRD RSA – to copiers, Papercut to copiers, and Fax Service through copiers. We would want support to troubleshoot if there was a problem with any of these areas. If data needs to be imported over for any reason we would want support and help to ensure that this is transferred correctly.
