About this file
This is a Quarterly Checklist document for landscape maintenance services provided by the City of Hayward, California. The checklist outlines comprehensive maintenance requirements that contractors must perform during each quarter (March, June, September, and December) and includes annual review tasks. The scope of work encompasses landscape maintenance across multiple service categories: turf management including mowing, edging, fertilizer application, and weed/debris removal; tree and shrub maintenance with specific clearance requirements (6'6" for pathways and walkways, 13' for roadways); irrigation system inspection, testing, and minor repairs with seasonal programming adjustments; hardscape maintenance including fencing, masonry walls, and concrete walkways; and monitoring for plant diseases, pest infestations, and other landscape deficiencies. Contractors must document all work performed, including quantities of materials applied (fertilizer and mulch), dates of service, irrigation modifications, program changes, and any identified landscape problems requiring attention.
Contractors are required to submit completed maintenance checklists and monthly pesticide reports to MSDLandscape@hayward-ca.gov following each quarter and monthly period, respectively. The checklist serves as both a performance tracking tool and a record of contractor compliance with the City of Hayward's landscape maintenance specifications. Contractors must assess work quality, maintain detailed notes on all activities performed, and identify any extra work needed with associated quote numbers. This quarterly documentation requirement ensures accountability and provides the City with comprehensive records of maintenance activities, material usage, irrigation system performance, and landscape conditions throughout the contract term.
