About this file
This is a Questions and Answers document for Bid #25-016 from the Houston County School District regarding custodial supplies. The contract term is 6 months, and vendors can bid on all items or select specific items to bid on. Samples for alternate brands must be submitted by January 31, 2025. The bid does not guarantee purchase quantities, and delivery of ordered items requires a two-week turnaround time. After the six-month contract period, a new bid will be issued, with no renewal options specified.
The bid evaluation does not utilize a point scale or specific criteria beyond what is stated in the bid package. Pricing history is available through an Open Records Request. The district will place orders as needed throughout the contract period, with no guaranteed minimum purchase quantities, even for items with specified quantities in the bid (such as the example of 500 cases of trash bags). All bid requirements and evaluation factors are contained within the original bid package.

BID #25-016
QUESTIONS AND ANSWERS
Q: Do you have a Procurement history of prior contract prices that you can provide?
A: You will need to request an Open Record Request from jennifer.c.jones@hcbe.net.
Q: In reference to the samples, can we provide samples for any item that isn’t an exact match if we are being considered a finalist for the award rather than sending samples of every single item that isn’t an exact match with our price submission?
A: No, per bid document, we must receive sample before the bid is reviewed. All samples must be received no later than January 31, 2025.
Q: How long is the term of this contract?
A: 6 months
Q: I wanted to know if this was an all or nothing bid or are we allowed to bid on some of the items?
A: This is not an all or nothing bid. You can bid on the items you want.
Q: If we must send in samples, is the 31st of January a hard date or could we be given more time to get the samples in?
A: Per bid, all samples must be received by January 31, 2025.
Q: Is this Bid request for 1 delivery of all items listed or will deliveries be requested for various refills throughout the year?
A: Items will be ordered as needed. All items may not be ordered immediately.
Q: For requested deliveries, as the items are needed after the initial first delivery, what is the anticipated turnaround time from request to delivery?
A: I cannot give you an estimated date. We place orders when needed.
Q: If the 1st order is all items requested, is there an anticipated idea on what items may be needed, or at least an idea of more popular items to be reordered within the 6-month contract period?
A: I will not know until the bid is awarded.
Q: Is the Bid renewable? or do you send out a Bid when the items are needed or after the contractual 6 months?
A: A new bid will be issued after 6 months.
Q. Please confirm that as stated on the Specifications, all items requested are a guarantee of all items that will be delivered. I.e. 500 cases of 1000 trash bags are requested on the bid, over the course of the Bid Contract, and all 500 cases will be delivered (whether all at once or overtime). Furthermore, the winning bidder will not be left with any supplies leftover.
A: No, we do not guarantee that all items will be purchased.
Q: What other factors are included in the Bid award?
A: All factors are stated in bid package.
Q: Is there a point scale or criteria you are following for the awards?
A: No.
Q: Is there a list of specific samples requested for the delivery 1/31/25? Or is it just a request for items where an alternate brand is needed?
A: Samples are only required for items where an alternate brand is submitted for bid.
Q: If items are needed and asked for on Monday March 3rd, when would the delivery need to be completed? Would a 1-week turnaround work? or 2 weeks?
A: A 2-week turnaround would be satisfactory.
