About this file
This document is an amendment to an Invitation to Bid issued by the Nevada Public Utilities Commission (PUCN) for onsite scanner maintenance services. The amendment provides clarification on several questions received from bidders, including the requirement for bidders to be an Authorized Canon Service Provider, the expected number of periodic maintenance visits per year, and the required contract documents. The original bid release date was February 17, 2023, and the bid opening date is March 30, 2023, at 3:00 PM.
The scanners to be maintained are 5 years old and were purchased in April 2018, with the current maintenance contract starting in July 2018 under High Desert Microimaging, Inc. The PUCN has historically only needed to purchase roller kits as expendable parts. The PUCN has provided a copy of the current contract to bidders upon request.

The following shall be a part of the Invitation to Bid. If a vendor has already returned a proposal and any of the information provided below changes that proposal, please submit the changes along with this amendment. You need not re-submit an entire proposal prior to the opening date and time.
Questions and Responses to Invitation to Bid:
1. Does the bidder have to be an Authorized Canon Service Provider?
Yes, the bidder must be an Authorized Canon Service Provider and must also provide a certificate to show that status.
2. Does the PUCN have an expected number of periodic maintenance visits per year?
Yes, bidders must provide periodic onsite maintenance quarterly at each location per Fiscal Year. Bidders must notify the PUCN in advance of the scheduled day of maintenance so the visit is expected, or conflicts can be rectified.
3. Does the bidder have to include the Certificate of Insurance naming PUCN as the certificate holder, Contract for Services of the Independent Contractor form and State of Nevada Business License? Or does the bidder furnish these items after the PUCN makes the selection?
These items do not need to be included in the proposal packets. The Contract for Services of the Independent Contractor and State of Nevada Business License will be completed after the selection. The PUCN must have the Certificate of Insurance prior to the start of work.
4. How many years have these scanners been under Canon Service?
These scanners are 5 years old as they were purchased in April 2018 with the contract for maintenance starting July 2018 under High Desert Microimaging, Inc.
5. What is the purchase date of the DR M260 units?
These units were purchased in April 2018, so the 5-year advanced exchange warranty should no longer be active.
6. What expendable parts historically are not covered by the contract?
Historically, the only parts the PUCN has purchased has been roller kits.
7. Can the PUCN provide a copy of the current contract?
Yes, please see attached.
ALL ELSE REMAINS THE SAME.
