About this file
This is a Public Records document outlining the disclosure and compliance requirements applicable to the City of New Smyrna Beach's T-Hangar E Renovation project solicitation (ITB 11-26-AIR). The document establishes that all materials submitted in response to this solicitation become the property of the City and are subject to public inspection ten days after the public opening, with executed contracts open to public review thereafter. Contractors must understand that proprietary information included in their bids may be subject to disclosure under Florida Statutes Chapter 119. The City reserves the right to use any information or materials submitted regardless of whether a contractor is ultimately disqualified from the selection process. Questions regarding public records obligations should be directed to the City Clerk at 386/410-2630 or clerk@cityofnsb.com.
Contractors are required to comply with all applicable public records laws, including maintaining records necessary for service delivery, providing copies or access to requested records within reasonable timeframes at reasonable costs, protecting confidential and exempt records from unauthorized disclosure for the contract duration and beyond, and transferring all public records to the City at no cost upon contract completion. Electronic records must be provided in formats compatible with the City's information technology systems. If contractors retain records after project completion, they must comply with all applicable public records retention requirements. Duplicate exempt or confidential records must be destroyed following transfer to the City.
