About this file
This is a Proposer RFP Checklist document for the City of Santa Monica, California, regarding a Fixed Route Vehicle and Operator Scheduling Software procurement. The City seeks qualified firms to provide a comprehensive software system that supports fixed route scheduling, daily operations management, and workforce timekeeping, along with implementation, integration, and ongoing maintenance services. The checklist outlines mandatory procedural requirements for proposers, including attendance at any pre-proposal conference offered, submission of questions by specified deadlines, and review of all formal addenda issued through the City's OpenGov online vendor portal. Proposers must follow the format requirements specified in the RFP, provide point-by-point responses to all sections in a clear and concise manner, acknowledge all issued addenda with signed documentation, and submit responses by the deadline specified on the RFP front page. The evaluation of proposals will be based solely on information and materials provided in the submission.
The checklist emphasizes that late proposals are never accepted and requires proposers to thoroughly review the RFP document multiple times to ensure all requirements are addressed. While the specific pricing terms, contract duration, renewal options, funding sources, and award date are not detailed in this checklist document, proposers must note all submission dates and times listed on the RFP cover page and ensure compliance with all mandatory requirements, including any insurance, performance, and reporting obligations outlined in the primary RFP document.
