About this file

This is a Price Schedule (Exhibit D) for a lodging procurement by the Minnesota Department of Natural Resources (DNR) for the DNR Fall Naturalist Meeting scheduled for October 27-28, 2026, at or within 60 miles of Lake Bronson State Park in Lake Bronson, Minnesota. The procurement requests single occupancy lodging rooms with check-in on October 26, 2026, and check-out on October 28, 2026. The required quantities are up to 66 rooms for October 26 and 27, and up to 54 rooms for October 28. Responding vendors must submit pricing through the SWIFT portal, and responses must address all requirements in Exhibit C and Exhibit C, Supplement 1. All responses should be submitted electronically, with the vendor responsible for reviewing and complying with all attachments. Payment will be made only after all items have been received and approved, with no partial payments permitted. One purchase order will be issued per vendor.

Vendors must provide pricing for room charges and applicable taxes on the spreadsheet for each night, with the option to specify room charges as the preferred method or taxes as an alternate. The price schedule requires vendors to list any additional properties or facilities included in their offer, as well as parking availability and daily rates per vehicle. Vendors must also specify cancellation fees in United States currency for various notice periods, including cancellations received 30-15 days prior, 14-3 days prior, 72-48 hours prior, 48-24 hours prior, and less than 24 hours before the conference. The contractor agrees not to seek additional costs or fees beyond those listed on the spreadsheet, and the State assumes responsibility for paying any applicable cancellation fees should the conference be cancelled for any reason other than non-appropriation.
