About this file
This is a price increase instruction document for Micro Purchase Bid #B2727439 issued by the City of Philadelphia, Pennsylvania for preventative maintenance services for Canon imagers. The contract period runs from July 1, 2026 through June 30, 2027, with the option for the City to renew annually for up to three additional one-year periods at its sole discretion. The seller must quote all items to be eligible for award and shall not deliver services until notified by the department.
Price increases for renewal periods are permitted but are subject to specific conditions and limitations. The seller must submit written notice of any price increase to Shirley Refile at shirley.refile@phila.gov at least thirty days prior to the expiration of each contract period, referencing the bid number, contract number, renewal period, item descriptions, and applicable pricing. The price increase request must document the current price, the CPI percentage change, and the proposed increased price. Price increases are calculated based on the percentage change in the Consumer Price Index for All Urban Consumers in Philadelphia as published by the U.S. Department of Labor's Bureau of Labor Statistics, as indicated in the Mid-Atlantic CPI Announcement for December of the applicable renewal year; however, price increases cannot exceed four percent in any renewal period, whichever is less. Failure to notify the City within the thirty-day timeframe will result in prices remaining unchanged for the renewal period. Price decreases may be submitted to Shirley Refile in writing at any time during the contract or renewal periods.
