About this file

This document is a Questions and Answers (Q&A) file for Solicitation No. PR15488471, dated August 15, 2025, for a joint event between the U.S. Government (USG) and METI, Japan. The event requires a venue capable of accommodating a third-party virtual teleconferencing (VTC) team for streaming a full-day event from 0900-1700, with the venue available at least 12 hours prior to the event. Key requirements include professional audio-visual services, the ability to stream and integrate virtual attendees, and support for interactive virtual participation.

Specific details include a need for 5-10 hotel rooms at U.S. per-diem rates, with proposed check-in on November 3 and check-out on November 6. The event will require high-speed WiFi for VTC streaming, and separate invoices must be issued to USG and METI, Japan. The contracting agency will hire a third-party VTC company, and the venue staff will assist with equipment setup. This is a brand new contract with no incumbent, and virtual attendees will be able to interact with speakers, view onscreen content, and potentially present or ask questions during the event.
