About this file
This is a Scope of Work document for HVAC System Maintenance and Inspection issued by the Ohio Department of Natural Resources (ODNR), Division of Wildlife, for their District Two Headquarters in Findlay, Ohio. The contract requires weekly walk-through inspections and comprehensive fall (October 15-November 15) and spring (April) preventative maintenance for the main and back buildings' HVAC systems. The scope includes detailed checks of air handlers, boilers, system controllers, chillers, hot water heaters, natural gas heaters, and air conditioning units. A mandatory site visit is scheduled for July 9, 2025, at 10 am, and the contract will be awarded to the lowest responsive and responsible bidder based on a low lot total calculation.
The contract specifies that no repairs are included in the initial scope, and any necessary repairs will require a separate estimate. The HVAC system features a proprietary web-based supervisory control system installed by All Temp Refrigeration, which requires any future modifications or replacements to be integrated by the same vendor. Invoicing will occur monthly, with submissions directed to Ohio Shared Services through email, fax, or mail. Bidders must complete and attach a Standard Affirmation & Disclosure Form, and the awarded supplier will be required to sign an Addendum to Bid Quote or Personal Services Agreement. The service frequency is set at one day per week, with flexibility for holiday scheduling.
