About this file

This is an Office Automation Form Bid submission for the City of Philadelphia related to equipment installation, configuration, and maintenance requirements. The bid addresses desktop equipment installation with vendor-provided debris removal, product configuration at the city's location, extended warranty coverage, and on-site maintenance services. The warranty requirements specify a minimum five-year period for servers and IT appliances, four years for PCs and laptops, three years for tablets, and original equipment manufacturer warranty periods for peripherals including printers, copiers, and multifunction devices. All warranty coverage begins after a 30- to 120-day acceptance period. The vendor must provide next-day on-site response (within 24 hours) for maintenance requests, including all parts and labor. The bid indicates the vendor's willingness to provide instruction and training and acceptance of refurbished equipment where applicable.

The submission confirms that all deliveries must be inside deliveries, with drop shipments to loading docks explicitly prohibited. The vendor is required to provide cost estimates for installation and configuration services unless otherwise directed by the city. Vendors must submit product literature upon the city's request. Payment for the selected maintenance option, whether a three-year or five-year term, is due after equipment delivery and acceptance by Philadelphia. The related contract opportunity pertains to consumable supplies, specifically one case of 12 ribbons for Fargo 82600 0.6 mil PolyGuard Laminate, indicating this bid may be part of a broader office automation procurement in Pennsylvania.
