About this file
This is an Office Automation Form from the City of Philadelphia outlining installation, configuration, maintenance, warranty, and training requirements for office equipment procurement through the PHLContracts system. The form specifies that products must be delivered configured and ready for use, with the vendor responsible for installation at the desktop and removal of packaging debris. The city requires extended warranty coverage with minimum periods of five years for servers and IT appliances, four years for PCs and laptops, and three years for tablets, in addition to original equipment manufacturer warranties on peripherals such as printers, copiers, and multifunction devices. All warranty coverage begins after an initial 30 to 120 day acceptance period. The form indicates that vendor instruction and training are requested as part of the procurement.
Maintenance requirements include on-site support with next-day response time (within 24 hours) and provision of all parts and labor, with payment due after equipment delivery and city acceptance. The city offers maintenance options for either three-year or five-year terms. The form permits vendors to propose refurbished equipment as an alternative to new products. All deliveries must be inside deliveries to city locations. City departments utilizing this form must ensure vendors review these requirements before submitting quotes, and vendors must specify their platform, training, and warranty options as part of their proposals.
