Site Visit Information Audio Booth
The following information are questions/answers to vendor inquiries during location site visits conducted on August 29-30, 2016:
CLIN 0005/Area 52: RM 177 “Double Wall” (4 patient test chamber) Dimensions: Length 18’1.5” Width 11’1.5” Height 8’4” (from false/drop down ceiling) CLIN 0001/Area 22: RM A23 “Single Wall” (6 patient test chamber) Dimensions: Length 16’3” Width 14’8.5” Height 8’ (from false/drop down ceiling) CLIN 0001/Area 13: RM B4 “Single Wall” (6 patient test chamber) Dimensions: Length 16’10” Width 10’8” Height 8’ (from false/drop down ceiling) CLIN 0009/Yuma, Building 1175: “Double Wall” (4 patient test chamber) Dimensions: Length 17’6” Width 11’6” Height 8’1” (from false/drop down ceiling)
Note: Dimensions will be re-verified at the site visit.
SITE VISIT 1: Contractors are highly encouraged to attend the site visit scheduled on September 19, 2016; 0930 Pacific Daylight Time (PDT) for the area 13, 22, and 52 Branch Medical Clinics located on Camp Pendleton to satisfy all general and local conditions that may affect the cost of contract performance and to ensure understanding of the current operations and business requirements. Interested contractors are to report to the Naval Hospital Camp Pendleton, Building H-200, 200 Mercy Circle, 1st Floor/Quarterdeck Lobby, Camp Pendleton, CA, 92055-5191. The site visit will start promptly at 0935 (PDT). Point of Contact for the site visit will be Mr. Mark Grinnell at (760) 300-5024.
SITE VISIT 2: Contractors are highly encouraged to attend the site visit scheduled on September 20, 2016; 0930 Pacific Daylight Time (PDT) for the Yuma Branch Medical Clinic to satisfy all general and local conditions that may affect the cost of contract performance and to ensure understanding of the current operations and business requirements. Interested contractors are to report to the Yuma Branch Medical Clinic, Pass & Decal, 2989 East Arrow Street, Yuma, AZ 85369. The site visit will start promptly at 0935 (PDT). Point of Contact for the site visit will be Mr. Mark Grinnell at (760) 300-5024.
Though this is not a mandatory site visit, it is HIGHLY RECOMMENDED THAT YOU ATTEND. This site visit will not be repeated. In no event shall failure to inspect the site constitute grounds for a claim after contract award.
Contractor questions in direct relation to the project will be received by the conclusion of the last site visit September 20, 2016; 3:00pm (PDT).
QUESTIONS AND ANSWERS:
Question 1: Will Contractor dismantle and remove old booths off base or palletize for delivery to DRMO?
Answer: Contractor shall remove the old booths at each location and dispose off-site. Installation security shall allow removal from installation.
Question 2: Who will be responsible for removal of ceiling and providing at least 1’ or as much as possible additional clearance from existing false/drop-down ceiling inclusive of sprinkler heads, electrical wiring, & alarm system (deactivation)?
Answer: The Government will be responsible for deactivation of any alarm systems. The contractor will be responsible for any temporary or permanent relocation, modification, of false/drop-down ceiling, electrical, and/or sprinkler system (heads) that may be required before, during, and after the installation of the audio booths at the 52 area and Yuma locations. Contractors shall incorporate any of these necessary actions in their solution/offer for Government review/approval. In other words the contractor shall provide a turn-key (complete) solution in their offer for the installation of the audio booths at all four (4) locations.
Questions 3: Is October 1st a firm completion date?
Answer: No, the award installation dates will be changed to accommodate an 8-10 week preparation/ manufacturing lead time and 6-10 days for installation After Receipt of Order (ARO).
Question 4: Is it possible to extend the solicitation close date?
Answer: Yes, the close date shall be extended to September 27, 2016; 10:00am (pacific daylight)
Question 5: When will the prospective offers expect award?
Answer: Before or on September 30, 2016
Comments:
· For Areas 22 and 13 locations there are no ceiling issues (single wall)
· All 4 sites required a timeline of approximately 8 – 10 weeks prep/manufacturing time and 6-10 days installation, after receipt of order (ARO)
· Contractor will be responsible for delivery and installation of all units at the installation location
