About this file
This is a Request for Proposals issued by the Village of Mount Pleasant, Wisconsin for laser printer maintenance and supply services covering the period 2020-2023. The Village seeks qualified contractors to provide maintenance, supplies, and service for its printer fleet across multiple facilities including Village Hall, Police Department, a Department of Public Works facility, a Community Oriented Policing house, and four fire stations. The RFP encompasses 42 laser printers, laser multifunction printers, and laser copiers from various manufacturers including Brother, HP, Sharp, and Xerox. Proposals were due December 6, 2019 at 5:00 PM CST, with bid evaluation and selection to be completed by December 11, 2019. The Agreement was scheduled to commence January 15, 2020 and run for three calendar years. Either party may terminate the Agreement without cause with sixty days' prior written notice on each January first during the term. Bidders were required to have offices within 50 miles of Mount Pleasant.
Pricing will be structured as a per-page cost basis with quarterly invoices calculated on actual page counts, with all costs including supplies and parts except paper, staples, and electricity included in the per-page rate. The Bidder may supply compatible, non-OEM toner with costs from poor quality toner not passable to the Village. If a covered printer cannot be repaired, the Bidder must replace it with a comparable or better unit at no cost. The Village will be responsible for purchasing additional or upgraded printers, except where replacement is required under maintenance terms. Response time is critical, with technicians required to be on-site for repairs by the next business day. Bidders must demonstrate qualified and certified technical staff capable of supporting all manufacturer equipment listed or provide a plan and cost for replacing unsupported units. Quoted pricing must remain valid for the entire three-year contract term and apply to any added or upgraded printers during that period.
