About this file

This document is an instructional guide from the Kenton County Airport Board (KCAB) detailing the RSVP process for vendors attending pre-bid and pre-proposal meetings. KCAB requires all meeting attendees to pre-register through the OpenGov system at least 24 hours in advance to facilitate security clearances and transportation arrangements. The guide provides step-by-step instructions for vendors, emphasizing that each individual attending must complete their own RSVP and that a company administrator must first add attendees to the account.

The document outlines the specific RSVP process within the OpenGov platform, including how to navigate to the Events RSVP dropdown, select the appropriate meeting, and change attendance status from "Not Attending" to "Attending". Vendors are directed to use the online Help Center at https://opengov.my.site.com/support/s/procurement for additional guidance on account management and system navigation. The instructions are accompanied by screenshots demonstrating the RSVP workflow, with clear visual indicators of how to properly complete the registration process.

Kenton County Airport Board Instructional Guide for Vendors to RSVP to PreBid/PreProposal Meetings

KCAB requires all attendees for all pre-bid and pre-proposal meetings to pre-register using the RSVP function in OpenGov at least 24 hours in advance of the meeting. Properly completing this RSVP process ensures that KCAB can perform all required security clearances prior to the site visit and ensures that adequate transportation is arranged.

The person attending the meeting must be the one to RSVP so that we have an accurate list of attendee names.

This document is being provided as a brief overview of the RSVP process. Bidders are encouraged to review the online Help Center provided by OpenGov, accessible at this link:

https://opengov.my.site.com/support/s/procurement for more in depth instructions pertaining to accounts and system navigation.

Adding users to your account

Admin is available for users with an admin role, and it allows them to add and disable users as part of their company account. An admin for your company must add every individual who is attending the meeting.

Then the individual attending the meeting must complete the RSVP. Multiple people from the same company can register, but each must complete the RSVP individually.

RSVP

Each person attending the pre-bid or pre-proposal meeting must log into their OpenGov account and follow these steps to RSVP for the meeting.

1. Click the Events RSVP drop down located next to Draft Response.

2. Find the meeting you will be attending (Prebid Meeting or Pre-Proposal Meeting) and click the Not Attending option to flip it to Attending.

An individual can click the Attending box again to remove the RSVP if they decide they can no longer attend.
