About this file

This document provides instructions for completing the Catalog_Template.xls spreadsheet required to load contract information into AdvantageME for the State of Maine. The file outlines the specific format and data requirements necessary for vendor submission, emphasizing that the spreadsheet structure must not be altered and that optional columns should not be deleted even if unused. Vendors are required to complete designated fields marked in red, including Supplier Part Number, Supplier Name, Item Description, Extended Description, Unit of Measure, List Price, and Deliver Days, while optional fields include Vendor Customer Code, Manufacturer Name, Manufacturer Part Number, Commodity Code, Product/Category, Model, Drawing, Piece, Serial Number, Specifications, Size, Color, and Picture File Name.

The submission requirements specify that Supplier Part Numbers must be formatted as text with each number being unique and containing no duplicates, commodity codes should reference NIGP 5-digit codes available on the Maine purchasing website, and units of measure must be selected from the attached Unit_of_Measure.xls file. Field size restrictions are clearly defined, with Supplier Part Numbers limited to 32 characters, Item Descriptions to 60 characters, and Extended Descriptions to 1500 characters. List Price fields must accommodate numbers with 14 digits before and 6 digits after the decimal point, and Deliver Days are limited to 10 digits. Picture file names are optional and may only be included if vendors have images for the contract. The State of Maine Buyer will complete the Vendor Customer Code column if left blank by the supplier.
