About this file
This document is a Request for Quotation (RFQ) for preventive maintenance services for water-cooled centrifugal chillers and air-cooled screw chillers located at the U.S. Embassy in Lima, Peru. The solicitation (RFQ No. 19PE5025Q0032) seeks a contractor to provide annual maintenance for two Trane CVHE250 water-cooled centrifugal chillers (187 TON) in the Chancery basement and two Trane RTAC-140 air-cooled screw chillers (140.2 TON) in the Annex building penthouse. The contract will be for one base year with three one-year option periods, with services to be performed on weekends between 7:00 AM and 6:00 PM.
The solicitation requires the contractor to perform comprehensive preventive maintenance, including equipment inspection, cleaning, testing, and replacing expendable parts. The contractor must provide all labor, tools, and materials, maintain on-site spare parts inventory, and submit detailed maintenance reports after each service. Pricing will be firm-fixed, with potential additional repair work to be quoted separately. 13. Measure the compressor motor winding resistance to ground; a qualified service technician should conduct this check to ensure that the findings are properly interpreted.
14. Contact a qualified service organization to leak-test the chiller; this procedure is especially important if the system requires frequent purging.
15. Inspect and clean the ifm efector® flow detection sensors. Use Scotch-Brite® or other nonabrasive material to clean scale; do NOT use steel wool, which could cause the probe to rust.
16. Clean area around equipment.

Spare Parts and Expendables Inventory.
There will be a minimum required expendable and common parts, provided by the Embassy, to be maintained on site by the contractor for normal maintenance to include:
• Oil refrigerant Trane OIL00022, two 9 gallon buckets.
• R-123 Refrigerant, one 100 lb/drum.
• Oil filters, two each.
• Drier, liquid line filter, two each.
• Dryer filters for the purge unit.
B. Air Cooled Screw Chiller:
Annually
These activities and tasks shall be performed by the BME Chillers Contractor
1. Weekly and Monthly activities to be performed during Annual PM:
• While unit is running in stable conditions.
• Check MP pressure for evaporator, condenser and intermediate oil.
• Observe liquid line sight glass on EXV.
• If liquid line sight glass has bubbles measure the subcooling entering the EXV. The subcooling should never be less than 4°F under any circumstances.
• Important: A clear sight glass alone does not mean that the system is properly charged. Also check the rest of the system operating conditions.
• Inspect the entire system for unusual conditions and inspect the condenser coils for dirt and debris. If the coils are dirty, refer to coil cleaning.
• Record the system subcooling.
2. Check oil sump oil level while unit is off.
Note: Routine changing of oil is not required. Use an oil analysis to determine condition of oil.
3. Have a qualified laboratory perform a compressor oil analysis to determine system moisture content and acid level. This analysis is a valuable diagnostic tool.
4. Perform a qualified and certified service to leak test the chiller, to check operating and safety controls, and to inspect electrical components for deficiencies.
5. Inspect all piping components for leakage and damage. Clean out any inline strainers.
6. Clean the condenser coils at least once a year or more frequently if the unit is in a “dirty” environment. A clean condenser coil will help to maintain chiller operating efficiency.
Follow the detergent manufacturer's instructions to avoid damaging the condenser coils.
7. Replace oil filters and refrigerant dryers as needed.
8. To clean the condenser coils use a soft brush and a sprayer such as a garden pump type or a high-pressure type. A high quality detergent such as Trane Coil Cleaner (Part No.CHM- 00255) is recommended.
Page | 15
Note: If detergent mixture is strongly alkaline (pH value greater than 8.5), an inhibitor must be added.
9. Panel, Electronic Controls:
• Clean panel interior.
• Verify functionality of supported devices.
• Clean ventilation filter and fan (if applicable).
• Record and report equipment damage or deficiencies

• R-134A Refrigerant, one 100 lb/drum.
• Oil filters, two each.
• Drier, liquid line filter, two each.
