About this file

This is Addendum 1 to an Invitation for Quotation (IFQ 7500 HAW1000) issued by the City of Austin's Central Procurement office for holiday decorating and event setup services at various City facilities. The scope of work involves installation and removal of decorations at multiple sites, with work varying by facility and potentially including tasks at heights up to 20 feet. The contract anticipates approximately 30-40 hours of work during normal business hours and 5-10 hours during after-hours, with an estimated one to two sites potentially requiring lift equipment. Holiday decorations will generally be installed after Thanksgiving and removed after New Year's Day, though specific installation and removal dates will vary by site. Building managers may provide photos of previous setups upon request during the scheduling phase, and quantities and tree sizes may vary by building and year.

Vendors are required to submit hourly labor rates for installation and removal services, with pricing based on total job hours rather than cumulative labor hours. The City will supply all decorations and event materials, though an estimated annual expenditure of approximately $1,000 is anticipated for minimal decorative goods purchases through the contract. Equipment charges are allowable in accordance with stated markup limits. Each project will be scoped and quoted individually, with total cost dependent on the hours required. There was no previous contract for this service. Bidders must acknowledge receipt of this addendum by signing and returning one copy with their quote, and all other terms and conditions from the original IFQ remain unchanged.

Invitation For Quotation

Addendum 1 for IFQ 7500 HAW1000

This Addendum changes documents associated with IFQ 7500 HAW1000. The following changes are incorporated to the subject IFQ:

1. Questions:

Q1: How many hours were used under the previous contract (normal vs. after hours)?

A1: There was no previous contract for this service. Estimated annual hours are approximately 30–40 hours during normal business hours and 5–10 hours after hours (after-hours work is not anticipated to be frequent).

Q2: What types of jobs are needed?

A2: Work will vary by facility and may include a range of installation and related services, with some tasks reaching heights up to 20 ft.

Q3: Which sites, and how often, may require a lift?

A3: An estimated one to two sites may require the use of a lift.

Q4: Is funding available for the purchase of decorative goods needed to complete the work?

A4: Yes. Purchases through the contract are expected to be minimal, with an estimated annual expenditure of approximately $1,000.

Q5: For the bid form, should pricing be based on total job hours or cumulative labor hours (e.g., a 3-person crew working 5 hours = 5 hours or 15 hours billed)?

A5: Billing should be based on total job hours. Using the example provided, the job would be billed as 5 hours.

Q6: Will decorative goods (e.g., lights) be tested prior to installation?

A6: In most cases, items will not be tested in advance. Spare lights may be purchased ahead of time and made available during setup. Testing and condition should be addressed during scheduling.

Q7: Are photos of the items to be installed available?

A7: Building managers may be able to provide photos of previous setups upon request, with photos likely supplied during scheduling.

Revised 05/02/2023

Q8: Are there estimated dates for installation and removal?

A8: Dates will vary by site. Holiday décor will generally be installed after Thanksgiving and removed after New Year’s Day in most cases.

Q9: Can you confirm whether you want a labor‑only bid based on the estimated hours, since no inventory list or detailed scope was provided? And will equipment charges be acceptable if they stay within the stated markup?

A9: We are requesting hourly labor rates for the installation and removal of décor. Each project will be scoped and quoted individually. Quantities and tree sizes may vary by building and year. Total cost will depend on the hours required. Equipment charges are allowable in accordance with the stated markup limits.

2. ALL OTHER TERMS AND CONDITIONS REMAIN THE SAME.
