About this file
This is a Bid Terms and Conditions document issued by the State of Maine Division of Purchases for the procurement of automotive hydraulic hose and stems to support state agencies, with the Maine Department of Transportation (MDOT) identified as the primary user. The solicitation requests bids to furnish hydraulic hose and stems as detailed in attached spreadsheets for a one-year contract period beginning upon award. The estimated contract value is $50,000.00 for the life of the contract, though actual purchases may exceed or fall short of this amount. The contractor must supply approximately 11 catalogs to state agencies and maintain a current catalog and net price list as part of the contract. The awarded vendor will be required to deliver to approximately 100 MDOT facilities throughout Maine, ranging from York to Madawaska.
Prices must remain firm for the duration of the contract and include all transportation charges on an F.O.B. destination basis. The State of Maine currently uses Parker Manufacturing products, though alternative manufacturers may be considered subject to evaluation; if a non-Parker product is awarded, the vendor must replace all crimping machines statewide at no additional charge. The contractor must accept the State of Maine Procurement Card as payment with no surcharge regardless of payment method, provide full-time field service personnel, and supply only fresh stock with provisions for credit on obsolete inventory purchased during the contract term. Invoices should be submitted electronically in PDF format when possible. The State requests that vendors extend contract pricing to political subdivisions and school districts in Maine. The Division of Purchases reserves the right to extend the contract beyond one year with contractor consent or cancel with thirty days' written notice if terms are not met.
