HT941026Q7599 – Questions and Answers – 29 October 2025

Can your team please provide a full equipment list of all surgical items to be repaired under this requirement?

Answer: Each quarter, the repair technician pulls an instrument maintenance due report from Censitrac, like the one attached to target sets that are due for maintenance. Also, the attached is a list of peel packed instruments and containers that give a snapshot of the instruments in OR/SPD. These inventory lists are as accurate as the MTF can get, as it is their policy to maintain records for all items sterilized in the facility even if it was decommissioned. The repair technician also inspects/repairs items from the dental clinic and laser marks newly purchased clinic items, per request of the SPD element chief, VA element chief, or clinic representative. All ECN’d items are inspected and repaired by our MERC department and may be sent out from there for further repair.

Is laser marking and commissioning of markings into your Censitrac System a requirement for this solicitation?

Answer: Laser marking is an integral part of services offered. To best meet the Infection Control guidelines limiting the amount of tape in the OR and SPD, we have moved to laser marking our instruments to help us keep track of ECN numbered items and to better differentiate OR stock from Clinic re-processable items.

Can you provide a rough estimate of the percentage of your instrument inventory that is currently laser marked and commissioned?

Answer: It is estimated at 60% and this amount/percentage will increase every quarter.

Has your inventory of instruments been serviced and maintained consistently over the last year?

Answer: Yes, on the current contract, the contractor comes out quarterly for a week of instrument inspection and repair.

On page 5 of the PWS section 1.9.1 states for technicians to be ASQ and CQI certified. This requirement would be out of the norm for onsite repair technicians. Can you confirm this is a requirement?

Answer: Yes, this is a requirement.

Based on the tray volume requirements each quarter, would it be acceptable for the onsite teams to be at the facility five or more consecutive days to ensure there is enough time to get through everything each quarterly visit?

Answer: The current contractor comes out for 5 days. If more time is needed, it will be coordinated with the MTF.

Would the facility be willing to provide a room where the onsite repair technicians can set up a temporary repair lab each quarterly visit? The teams would set up and break down the room before and after each visit.

Answer: There is space in the logistics warehouse available for set-up and break-down after each visit.
