Question Government Response

Q1. Is this an unrestricted procurement or small business set aside?
A1. FAR Part 19 does not apply outside the United States, so this procurement is competed on a full and open basis.

Q2. How many meetings are we going to support? Daily/weekly/yearly?

Any info from the past would be helpful.

A2. The number of meetings per week fluctuates. The Government has an overall annual residence course schedule of 35-40 weeks per year, with course length ranging from one week to several months. Long-term courses typically do not overlap; however, smaller events can arise and video-teleconferences and other support can also be scheduled during this timeframe. Support will be required simultaneously.

Q3. Is there any central control facility in the center that monitors and controls all the rooms? Or rooms are all independents?
A3. The Government does not have a central control room for all AV assets. Each of the three plenary rooms/auditoriums has its own control room. Additionally, there are 17 independent classrooms/seminar rooms which each have their own AV equipment. Further, there are VTC units (ISDN/IP/NIPR IP/DCS/Adobe Connect) within the plenary rooms as well as others throughout the Marshall Center.
Q4. What is the size of existing team supporting the current AV maintenance and operation?
A4. The previous PWS for this requirement has changed slightly. Successful performance of the current PWS is estimated to require 3-5 full

time personnel depending on the technical capabilities. Please note the language in the PWS which addresses the requirement to support surges or emergencies.

Q5. Does the Government intend to issue SF1449 to accompany responses to the subject solicitation, or shall the prospective contractor complete a full blank?

A5. Per FAR 12.603 (b) When using the combined synopsis/solicitation procedure, the SF 1449 is not used for issuing the solicitation. Please see the combined synopsis/solicitation section, CLOSING RESPONSE DATE, QUESTIONS AND SUBMISSION SUMMARY, for the submission requirements.
