About this file
This is a Questions and Answers document for Solicitation HQ003425QE183 Amendment 01 that addresses tax exemption clarifications for hotel accommodations.
The document contains three related questions from potential contractors regarding tax exemption status when booking hotels as a third-party contractor rather than as a direct government entity. The questions specifically ask whether tax charges would be reimbursable if hotels refuse to honor tax exemptions due to third-party status, whether tax exemptions would be honored when purchase orders show the contractor's company name instead of direct government identification, and whether the SF 1094 (United States Tax Exemption Form) would be sufficient for hotels to accept tax exemptions. The government's response clearly states that it does not provide any tax exemption forms, letters, or certifications to enable third-party companies to obtain tax-exempted status, effectively placing the responsibility for any applicable taxes on the contractor.

Solicitation HQ003425QE183: Amendment 01
Question (Q) and Answer (A): Clarification
Q1: In the event that a hotel refuses to honor tax exemption due to our third-party status, will such tax charges be considered reimbursable, or would they be the responsibility of the contractor?
Q2: Would the tax exemption be honored since the PO would have our company name (as a third party) and not a direct government Id?
Q3: Is the use of the SF 1094 (United States Tax Exemption Form) sufficient for hotels to honor tax exemption for these stays?
ANSWER 1: The Government does not provide any tax exemption forms or any letters or certifications to satisfy the conditions of a third-party company to be tax exempted.
